TITLE: US Payroll Specialist II
REPORTS TO: VP of Human Resources

You will ensure the integrity of our data, provide world-class support to our US-based employees, and act as the primary guardian of our time-tracking accuracy. Reporting to the Director of Payroll, you will be instrumental in processing multi-state payroll across 15+ jurisdictions.

Your Impact on Career Team’s Success:
● Ticketing & SLA Management: Act as the "Tier 1" support for all payroll inquiries via Freshservice. You will be responsible for triaging tickets, providing accurate responses, and ensuring all inquiries are resolved within our established Service Level Agreements (SLAs).
● Precision Data Management: Review and audit employee timecards for regular hours, OT, and various leave codes. Load batches and perform the critical "first review" of payroll registers to catch variances before they happen.
● ADP Power User: Maintain and update ADP Workforce Now to reflect changes in labor laws, tax jurisdictions, and employee status.
● Garnishment Administration: Set up and manage garnishments in compliance with US federal and state requirements.
● Employee Experience: Act as the first point of contact for payroll-related inquiries, resolving issues with empathy, speed, and professionalism.
● Reporting & Insights: Generate weekly/monthly headcount summaries and requested reports for audits to help leadership make data-driven decisions.
What You Bring:
● Experience: 2–3 years of specialized payroll experience, specifically handling US-based payroll (understanding US tax cycles is a must).
● Technical Chops: Proven experience with a Payroll System, such as ADP Workforce Now or Kronos/UKG. Intermediate Excel skills (VLOOKUPs and Pivot Tables are daily tools).
● Ticketing Experience: Proven experience using Freshservice, Zendesk, ServiceNow or a similar ticketing platform. You must understand the importance of ticket status, priority levels and SLA countdowns.
● Adaptability: Comfortable working 10:00 PM – 7:00 AM PHST to align with US Eastern/Central time zones.
● Communication: Exceptional verbal and written English, with the ability to explain complex pay issues to US employees.
● The "Zag" Mindset: A proactive approach to problem-solving—you don’t just report a variance; you find the source.
● Must be a self-starter, hands on and able to be flexible with competitive work demands. Take the initiative to look beyond any variances and get to the source of the problem or identify trends;
● Meticulous organizational skills and detail-oriented;
● Professional communication skills, experience with handling sensitive and confidential data;
● Must be able to meet deadlines and work under pressure, including the ability to perform and complete a high volume of work assignments with speed and accuracy, work cooperatively with others and showing courteousness and a high level of professionalism.

Qualifications:

Goals of this role:
The Administration Partner is responsible for the comprehensive administrative handling of all HR-related processes within one or several business areas. In close cooperation with HR Officers and HR Business Partners, the role ensures a high-quality, efficient, and legally compliant execution of all administrative HR tasks. The Administration Partner acts as a knowledgeable contact person, process optimizer, and trusted advisor within the operational HR environment.
Responsibilities:
Own and manage end-to-end HR administrative processes across the employee lifecycle, ensuring accuracy, timeliness, and compliance with internal policies and legal requirements.
Handle onboarding and offboarding activities, including contract preparation, amendments, termination documentation, exit interviews, and coordination with internal and external stakeholders.
Prepare and maintain legally relevant HR documents such as employment contracts, addendums, warnings, termination and release agreements, and job references.
Serve as a primary point of contact for employees, managers, HR colleagues, payroll, and other internal teams on HR-related matters.
Maintain and update HR systems, digital personnel files, organizational data, and reports (e.g., SAP, InsideNet/EIAM).
Support payroll processes (pre- and post-processing, checks, reporting) across multiple countries, with a focus on France and coordination with international accounting teams.
Manage administrative HR topics related to employee life events, including parental leave, sickness, work accidents, vacation entitlements, and special leave.
Prepare regular and ad-hoc HR reports, analytics, and compliance documentation (e.g., headcount, probation, temporary contracts, ASR reporting).
Contribute to process optimization, standardization, and digitalization initiatives, including system transitions and change or transformation projects.
Support organizational development activities such as restructurings, role changes, promotions, and international assignments or expatriations.
Monitor legal and regulatory changes and support audits, new entity setups, and integration projects.
Provide functional guidance to working students and support cross-functional and international HR initiatives as required.

We’re scaling. That means more clients to look after, more chefs to schedule, and cash that needs to move cleanly. We’re hiring a hands-on operator to keep the day-to-day tight: customers happy, chefs organised, billing correct, and processes calm.
Customer and chef ops: handle inbox/WhatsApp, onboarding, de-escalate issues, keep updates crisp
Recruitment flow: source, screen, schedule trials, onboard chefs (and staff)
Billing & finance admin: invoice runs, refunds/credits, weekly reconciliation
Light automations: maintain and create simple n8n/Zapier flows
Compliance admin: NDAs, contractor packs, KYC/IDs, background checks, sales tax management, tidy files
Process building: creating SOP's and improving company-wide processes
Have 5–8 years in operations, including team lead experience
Are confident with Xero/Zoho CRM (or similar)
