About this Staffing Solutions Coordinator role at Manifest Services SA
Manifest operates in the Construction, Facility Management, and Staffing Solutions sectors, employing more than 1,000 people across Greece. As part of our continued growth, we are launching a new Workforce Mobility Program to bring skilled and unskilled workers from abroad, meeting the staffing needs of our client businesses.
We are looking for an Operations Coordinator to manage the full operational journey of incoming workers — from their arrival in Greece to their final placement with client companies.
As Operations Coordinator, you will be the main point of contact and coordination for workers arriving in Greece through our workforce mobility program. This role requires strong organizational skills, people skills, and the ability to manage multiple tasks in parallel within a fast-moving environment.
Responsibilities
- Welcome and receive workers arriving at the airport
- Coordinate safe and timely transportation to housing locations
- Arrange and manage worker accommodation
- Provide daily communication and support to incoming workers
- Collect, organize, and track required documentation (passports, work/residence permits, medical checks, etc.)
- Liaise with legal and administrative advisors to ensure smooth completion of the mobility process
- Place workers with partner client companies once all required documents are issued
- Deliver basic training and onboarding for new workers
- Create and manage work schedules for employees
- Maintain organized records of placements, documents, and attendance for each worker
Requirements
- Excellent command of English, written and spoken — a mandatory requirement, as this will be the main channel of communication with workers
- Valid driving license (Category B) — mandatory
- Strong organizational skills and the ability to manage multiple priorities
- Flexibility with working hours, as worker arrivals may occur outside standard business hours
- Willingness to travel occasionally to various regions of Greece
- Prior experience in HR, logistics, tourism, or personnel management will be highly valued
- Familiarity with administrative procedures (work permits, tax registration, social security numbers) is a plus
- Knowledge of additional languages (e.g. Hindi, Punjabi) is a plus, though not required
