About the Role
Our recruiting team is only as fast and effective as the operations behind it. As Circadia scales nationally across skilled nursing, home health, and virtual care — and grows our Clinical, Tech, and Corporate teams alongside it — we need someone who can own the behind-the-scenes engine that keeps hiring moving: scheduling, onboarding, systems, and process.
This is not a back-office role. You'll be the connective tissue that lets our recruiters focus on candidate relationships and closing, while you make sure nothing falls through the cracks — from the first interview invite to a new hire's first day. Responsibilities
Own Interview Scheduling & Coordination: Coordinate interviews across multiple time zones, interviewers, and candidate types (clinical, technical, and corporate), keeping the process moving quickly without sacrificing a great candidate experience.
Support Seamless Onboarding: Own onboarding logistics for new hires — from offer acceptance through day one — including systems setup, paperwork, and coordinating with IT, People, and hiring managers to ensure every new hire feels prepared and welcomed.
Maintain Recruiting Systems & Data Integrity: Keep our ATS (Lever) and recruiting tools clean, accurate, and up to date — candidate stages, interview feedback, offer statuses — so the team always has a reliable source of truth.
Partner Across the Recruiting Team: Work closely with recruiters, hiring managers, and People leadership to anticipate scheduling needs, flag bottlenecks, and keep hiring pipelines moving efficiently.
Drive Process Improvement: Projects Identify opportunities to streamline recruiting operations — from interview logistics to onboarding workflows — and help build and document scalable processes as the team and company grow.
Be a Steward of Candidate Experience: Serve as one of the first points of contact for candidates — communicating clearly, warmly, and promptly so every candidate feels valued, regardless of outcome.
Qualifications
1-3+ years of experience in recruiting coordination, HR operations, or an administrative/operations support role
Highly organized and detail-oriented, with the ability to manage multiple calendars and moving pieces simultaneously
Experience with an ATS (Lever preferred) or the ability to learn new systems quickly
Strong written and verbal communication skills
Comfortable in a fast-paced startup environment with shifting priorities and tight timelines
Proactive, resourceful problem-solver who takes ownership without needing much oversight
Experience with, or enthusiasm for, responsibly leveraging AI tools to automate workflows and save the team time on repetitive operational tasks
