Purpose and Objectives for the Role 

This role sits within the Transformation Portfolio function and exists to increase delivery capacity while tightening up governance, commercial control, and day-to-day coordination across the portfolio. You’ll be the person who keeps things moving: tracking actions, chasing follow-ups, preparing governance packs, and making sure project teams can spend their time on delivery rather than admin.

It’s a role that touches everything, from RAID logs and meeting minutes through to PO processing and supplier payment follow-ups. You’ll support Digital Channels, EPSG, and wider transformation initiatives, and you’ll need to be the kind of person who takes pride in things being accurate, on time, and properly documented.

Overall Responsibilities 

  • Support portfolio, programme, and project governance activities, making sure the right documentation, audit trails, and reporting are in place and kept current.
  • Maintain RAID logs (Risks, Assumptions, Issues, Dependencies) across the portfolio and ensure they are reviewed and updated regularly.
  • Track actions, decisions, and project milestones, following up with project teams and stakeholders to keep things on track.
  • Prepare governance packs, presentations, agendas, and meeting materials for leadership and governance forums, including EPSG.
  • Record meeting minutes and make sure actions are captured clearly and followed up in a timely way.
  • Coordinate project meetings and stakeholder sessions, managing logistics and making sure the right people are in the room.
  • Monitor project schedules and track progress against plans, flagging delays or blockers early.
  • Support change control administration and documentation, ensuring changes are properly logged and approved.
  • Support release readiness sign-off, helping to coordinate the steps needed before go-live.
  • Support the PO process and invoice processing, including supplier payment follow-ups, making sure commercial administration runs without delays.
  • Ensure commercial documentation (contracts, POs, invoices) is accurately filed and easy to find.
  • Manage document repositories across the portfolio, keeping everything organised, version-controlled, and audit-ready.
  • Assist with portfolio planning and reporting activities as needed.

Skills Required 

  • Strong organisational and administrative skills. You’re the kind of person who keeps everything in order and nothing falls through the cracks.
  • Experience supporting multiple projects at the same time, balancing competing priorities without losing accuracy.
  • Experience producing reports, meeting minutes, and governance documentation to a high standard.
  • Strong Microsoft Office skills, particularly Excel, PowerPoint, and Teams.
  • Excellent stakeholder communication skills. You’re confident following up with people at all levels and keeping things moving.
  • Strong attention to detail and follow-through. If you say it’s done, it’s done properly.
  • A good understanding of project lifecycles and methodologies, including the differences between Agile and Waterfall approaches.
  • Experience supporting digital, technology, or transformation programmes is a plus.
  • Experience managing POs, invoices, and supplier administration is desirable.

Qualifications Required 

  • Experience in a PMO, Project Coordinator, Project Support, or Project Administrator role.
  • Understanding of project governance frameworks.
  • PMO or project management certification (PMP, PM Fundamentals, Agile, PRINCE2) is desirable but not essential.
