The successful candidate will be highly organized, detail-oriented, discreet, and comfortable supporting sensitive work involving donor information, anatomical specimens, academic programs, compliance partners, and university leadership. Comparable higher-education roles emphasize confidentiality, registry/database management, anatomical material tracking, donor or program records, communication with internal and external stakeholders, and final disposition documentation.

Qualifications

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience.

  • Five years of related experience.

Preferred Qualifications

  • Experience in a medical school, health sciences program, Willed Body Program, anatomical gift program, anatomy laboratory, research compliance office, or academic compliance environment.

  • Experience maintaining registry, inventory, donor, specimen, case-management, or final disposition records.

  • Experience coordinating committees, inspections, annual reporting, audits, or compliance documentation.

  • Familiarity with anatomical donation processes, Electronic Death Record Systems, educational embalming, or final disposition tracking.

 

Knowledge, Skills, and Abilities

  • Ability to effectively communicate both orally and in writing.

  • Ability to positively and professionally interact with clients and staff.

  • Excellent communication and presentation skills.

  • Strong interpersonal and organizational skills.

  • Working knowledge of office software.

  • Knowledge of Higher Education.

Essential Duties/Tasks

Program Administration and Regulatory Compliance

  • Manages intake, tracking, and administrative review of requests involving the acquisition, use, transfer, storage, and disposition of anatomical specimens.

  • Routes requests for review and maintains oversight of approval workflows and associated documentation.

  • Maintains the Anatomical Specimen Registry and associated records, including approvals, conditions, annual reports, inspection reports, inventory records, and disposition documentation.

  • Ensures program records are complete, accurate, and maintained in accordance with university, state, and regulatory requirements.

  • Supports audit readiness and compliance monitoring activities.

Program Coordination and Committee Support

  • Coordinates activities of the Institutional Anatomical Oversight Committee and related working groups.

  • Prepares meeting agendas, minutes, action items, reports, and supporting materials.

  • Tracks committee recommendations, approvals, corrective actions, and follow-up activities.

  • Coordinates periodic facility inspections and maintains documentation related to inspection findings and corrective action plans.

  • Assists with implementation of SAP requirements and university-wide oversight processes.

Communication, Reporting, and Process Improvement

  • Serves as an administrative liaison among colleges, programs, facilities, committee members, and university administrative offices.

  • Develops reports, templates, checklists, guidance documents, and other administrative resources.

  • Supports process evaluation and continuous improvement initiatives to enhance efficiency, transparency, and compliance.

  • Assists with stakeholder communications and program outreach activities.
