Annual Salary: $65,000 – $75,000 (commensurate with experience)

Work Location: Hybrid / Flexible (Flexibility for project travel and work during evenings/weekends as required by show schedules.) *Note: Candidates based within ~60 miles of a CAMP NYC location are preferred.

WHAT IS THE ROLE?

We are looking for a full-time Production Coordinator to support day-to-day project execution across CAMP’s Production department. In this hybrid role, you will work remotely day-to-day while maintaining full responsibility for on-site execution during critical project phases. You are the meticulous organizer who keeps project schedules, file systems, and vendor inventories up to date, ensuring no detail falls through the cracks—whether virtually or on the ground at load-ins, walk-throughs, and live activations. 

WHAT YOU WILL DO/BE RESPONSIBLE FOR 

Support Projects & Vendor Logistics 

  • Project Tracking: Maintain up-to-date project timelines, schedules, and task management tools across active initiatives.
  • File & Information Management: Organize production files, assets, and project data as updates arrive.
  • Vendor Operations: Field initial vendor outreach, conduct vetting, and coordinate ongoing communications with external partners.
  • Sourcing & Inventory: Source props, materials, and small-scale vendors; source post-launch prop replacements and maintain accurate store ordering lists.
  • Budget Support: Track project expenditures real-time to maintain budget accuracy, assisting with financial reconciliations upon project wrap.
  • Client & Team Syncs: Draft updates and support client-facing and internal progress meetings.

Be the Boots-on-the-Ground Lead

  • On-Site Execution: Serve as the primary on-site production contact for load-in/out, walkthroughs, launches, and live events (requires occasional evening and weekend shifts).
  • Cross-Functional Coordination: Align production schedules across store teams, cross-functional partners, and outside vendors to eliminate schedule gaps.
  • Site Quality Assurance: Perform regular check-ins with store and show teams to maintain setup quality and address operational needs.
  • Training & Compliance Documentation: Create and track execution resources, including weekly store checklists, bi-weekly carpenter logs, and compliance guides.
  • Brand & IP Integrity: Ensure all physical deliverables align with CAMP brand standards and partner/licensor IP guidelines in coordination with the Director of Production.
  • Set Maintenance: Assist with set servicing and live show maintenance planning.

  • Schedule Completeness: Comprehensive coverage of store and show operations with zero missed details.
  • Data Currency: Real-time accuracy of timelines, file structures, and purchasing lists without post-project fixes.
  • Field Satisfaction: High responsiveness and positive feedback from store staff and on-site teams.
  • Brand & Compliance Accuracy: Flawless alignment with brand/IP guidelines during site load-in and launch.
  • Budget Precision: Ongoing budget tracking with clean, prompt post-project wraps.

WHAT YOU WILL BRING TO CAMP

Basic Qualifications

  • 3+ years of project or production experience within experiential marketing, events, live entertainment, or brand activations.
  • Strong organizational, administrative, and multi-tasking skills across simultaneous workflows.
  • Ability to work independently in a remote environment while managing tight deadline pressures.
  • Strong written and verbal communication skills across technical and non-technical stakeholders.
  • High attention to detail across both large-scale logistics and minor administrative tasks.
  • Flexibility for project travel and work during evenings/weekends as required by show schedules.

Experience navigating brand/IP approval workflows is a plus

Physical Demands & Travel

  • Ability to travel to and work on-site at stores or activation locations, including nights and weekends.
  • Ability to stand, walk, bend, reach, and move throughout store/event environments for extended periods.
  • Capability to lift and carry props, materials, or equipment weighing up to 45 lbs.
