ABOUT YOUR NEW ROLE
The Operations Coordinator facilitates the flow of product and maintains inventory integrity across Herschel’s third-party logistics (3PL) network. Serving as an operational link between internal cross-functional teams and external warehouse partners, this position supports domestic and international logistics objectives, receiving procedures, and reporting workflows.
The Operations Coordinator makes day-to-day operational decisions regarding 3PL production monitoring, SLA tracking, shipment status updates, and ERP data entry for inventory movements. Operating with high detail orientation and independence, this role proactively investigates system inventory variances between the ERP and WMS platforms, resolves E-Commerce order bottlenecks, and executes routine GL invoice allocations—escalating critical SLA breaches, significant inventory shrink, or major distribution delays to team and/or department leadership.
A DAY IN THE LIFE
Reporting to the Distribution Manager and working closely with the Sales, E-Commerce, Product, Marketing, Retail, and Finance teams, the Operations Coordinator is responsible for the following:
- Monitoring daily warehouse production to ensure assigned 3PL partners meet service level agreements (SLAs) across all business lines.
- Overseeing end-to-end receipt of inbound shipments with local and global 3PL partners, ensuring transaction accuracy and prompt ERP entry for receipts, transfers, and adjustments.
- Maintaining and updating shipment tracking documentation, providing regular timeline updates, inventory shortage/overage notifications, and critical status changes to Sales Operations.
- Supporting logistics workflows for Salesman Samples, coordinating efforts between Product, Sales, and Factory teams to deliver samples to sales reps and international partners.
- Reconciling inventory balances between ERP and global 3PL systems daily, investigating variances, collaborating cross-functionally to resolve discrepancies, and compiling monthly reconciliation reports.
- Driving global inventory governance across North American and international warehouses, supporting year-end physical inventory counts and ongoing cycle count programs.
- Reviewing and resolving E-Commerce order exceptions within the ERP platform as needed.
- Coordinating Retail inventory replenishment deliveries, store-to-store transfers, and return shipments back to 3PL facilities.
- Reviewing and assigning General Ledger (GL) allocations for departmental invoices.
- Organizing key operational data into streamlined, informative reports for internal stakeholders and external partners.
- Supporting hands-on order fulfillment and shipping from HQ, including preparing, packing, and dispatching shipments in a timely and accurate manner.
- Identifying and implementing process improvement initiatives to enhance operational efficiency, support customer service excellence, and reduce shipping costs.
DELIVERABLES & KPIs
- On-time monitoring and fulfillment of daily warehouse production targets across assigned 3PL facilities.
- Timely, accurate reconciliation of ERP and WMS inventory balances with zero unresolved monthly variances.
- Prompt, error-free ERP processing for inbound receipts, stock transfers, inventory adjustments, and GL invoice coding.
- Proactive, accurate tracking updates and delivery reporting provided to Sales Ops, Retail, and E-Commerce teams.
ABOUT YOU
- 1-2 years of experience in operations, supply chain, inventory control, or logistics coordination.
- Intermediate proficiency in Microsoft Excel, with a proven ability to analyze, compile, and present operational data in clean reports.
- Strong organizational, analytical, and problem-solving skills with the ability to manage competing priorities under tight deadlines.
- Exceptional attention to detail with the ability to execute daily responsibilities with minimal direct supervision.
- Excellent written and verbal communication skills for collaborating across diverse internal departments and external 3PL partners.
NICE TO HAVE
- Post-secondary degree or diploma in Logistics, Supply Chain Management, Operations, or Business Administration.
- Practical experience working within Enterprise Resource Planning (ERP) systems, Warehouse Management Systems (WMS), and B2B/E-Commerce platforms (Shopify).
- Prior experience in consumer lifestyle, retail, apparel, or wholesale distribution environments.
