Key Responsibilities:

  • Support all day-to-day operational and clerical activities across the department.
  • Perform administrative duties including filing, document control, record retention, and maintaining certifications and compliance documentation.
  • Receive, collect, review, and classify data to ensure accuracy, completeness, and adherence to established procedures.
  • Maintain and organize operational records, reports, and function-related documentation.
  • Prepare reports, key performance indicators (KPIs), statistics, charts, diagrams, and presentations to support leadership decision-making.
  • Coordinate and schedule meetings, prepare agendas, distribute materials, and capture meeting minutes and action items.
  • Monitor departmental calendars, schedules, and deadlines to ensure timely completion of tasks.
  • Assist with internal and external audits by gathering required documentation and providing administrative support.
  • Track and follow up on action items, ensuring closure within agreed timelines.
  • Support process improvement initiatives by identifying inefficiencies and recommending solutions.
  • Serve as a point of contact between operations, management, and cross-functional teams.
  • Assist with training coordination, onboarding documentation, and maintaining employee records as needed.
  • Handle routine communications (emails, reports, updates) with professionalism and accuracy.
  • Ensure compliance with company policies, procedures, and safety standards.
  • Support inventory tracking, supply coordination, or order documentation where applicable.
  • Maintain confidentiality of sensitive company and employee information.

Qualifications & Skills:

  • Strong proficiency in Microsoft Excel (data analysis, pivot tables, reporting), Word, and PowerPoint.
  • Excellent organizational, planning, and multitasking abilities.
  • Strong attention to detail and problem, solving skills.
  • Effective written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Strong time management skills with the ability to prioritize tasks effectively.
  • Analytical mindset with the ability to interpret data and generate insights.
