WE ARE SEEKING an Office Coordinator to support our growing team of engineers and scientists. This role is a blend of reception, hospitality, and office coordination. You will be the first impression for clients, visitors, and employees, using your engaging and friendly personality to make everyone feel welcomed and comfortable.

A good part of this job is simply being a warm, approachable presence in a building full of technical professionals. The right person takes ownership of this office. You'll notice the coffee is out before anyone mentions it, keep the common spaces in good shape, and be the friendly, steady presence people are glad to see when they come through the door. The person in this role helps set the tone of the office day to day, and that matters to us.

RESPONSIBILITIES

• Greet and assist onsite guests
• Answer inbound telephone calls, screen, and direct calls to internal employees
• Receive deliveries at the front desk and route them to the right person
• Manage inventory and purchasing of office supplies, along with kitchen snacks, drinks, and coffee
• Plan and coordinate employee events such as birthdays, team lunches, and the annual Christmas party
• Help maintain a clean, organized, and welcoming workplace
• Develop and implement organizational methods around the office
• Keep common areas, conference rooms, and kitchens tidy and stocked. We are engineers, and we are not always great at cleaning up after ourselves
• Assist the owners with a wide range of day-to-day needs

Requirements

• Friendly and welcoming demeanor
• Previous experience in office administration, hospitality, or a related field
• Ability to prioritize and multitask
• Excellent organization skills and attention to detail
• Confident verbal communication skills
• Discretion and sound judgment in handling confidential information, as you will be around clients and project details that must "stay in the building"
• Comfort with Microsoft Outlook, Teams, Word, and Excel
• Ability to observe and identify methods to improve office efficiency
