We are looking for an experienced and highly proactive Logistics Coordinator to take ownership of the day-to-day supply chain and operational logistics for a growing CPG and manufacturing business.

This is a fast-moving environment where suppliers, production partners, freight providers, customs, and fulfillment partners all need to stay coordinated. The successful candidate will become the central point of coordination across the supply chain, ensuring orders move forward, paperwork is completed, and everyone knows what needs to happen next.

This is not a role for someone who simply follows a fixed checklist. Priorities will change, suppliers will change, and unexpected problems will arise. We need someone who can assess a situation, communicate clearly, find a solution, and keep things moving.

Key Responsibilities

Supply Chain & Logistics

  • Coordinate the supply chain from raw material sourcing through production and fulfillment.
  • Place and track purchase orders.
  • Coordinate with suppliers, manufacturers, co-packers, freight providers, customs brokers, and 3PLs.
  • Schedule pickups and deliveries.
  • Track shipments and proactively identify delays or potential issues.
  • Coordinate international and domestic freight.
  • Manage logistics across multiple time zones, including China, Hawaii, and the U.S.
  • Ensure smooth handoffs between suppliers, production facilities, freight providers, and fulfillment partners.

Customs & Freight Management

  • Coordinate customs documentation and requirements.
  • Work with customs brokers to ensure shipments clear efficiently.
  • Manage ocean and air freight shipments.
  • Track bills of lading, shipping documentation, delivery schedules, and related paperwork.
  • Work with carriers such as UPS, DHL, and FedEx as required.
  • Assist with freight insurance and shipment-related documentation.

Purchasing & Administration

  • Create and manage purchase orders.
  • Track invoices and payments.
  • Ensure suppliers and vendors are paid appropriately and on time.
  • Maintain accurate records across the businesses.
  • Assist with bookkeeping and intercompany paperwork.
  • Keep documentation organized and easily accessible.
  • Identify missing information or paperwork and proactively chase it down.

Production & Fulfillment Coordination

  • Monitor production timelines and ensure deadlines are being met.
  • Communicate with co-packers and manufacturing partners.
  • Track raw materials and production requirements.
  • Coordinate finished goods movement to the appropriate fulfillment or 3PL location.
  • Flag potential supply or production issues before they impact customers.

Essential Qualities

  • Proactive: You don't wait for someone to tell you what to do.
  • Adaptable: Comfortable when plans, suppliers, shipping routes, or requirements change.
  • Direct communicator: Clear, honest, and comfortable delivering bad news quickly when necessary.
  • Problem solver: Able to figure things out rather than becoming stuck when there isn't an obvious answer.
  • Highly organized: Comfortable managing numerous moving parts simultaneously.
  • Detail-oriented: Small errors in logistics can create significant problems.
  • Accountable: You take ownership of tasks from beginning to completion.
  • Fast learner: Able to quickly understand new systems, regulations, suppliers, and processes.
  • Resourceful: Willing to research and find answers independently.

Required Experience

  • Previous experience in logistics, supply chain, purchasing, operations, manufacturing, freight, or a related field.
  • Experience coordinating multiple vendors or external partners.
  • Strong organizational and project-management skills.
  • Experience working with purchase orders, invoices, shipping documentation, or similar operational paperwork.
  • Strong written and verbal English communication.
  • Excellent attention to detail.
  • Comfortable working independently in a remote environment.
  • Strong proficiency with spreadsheets and business software.

Preferred Experience

  • CPG, food & beverage, manufacturing, co-packing, or wholesale experience.
  • International logistics and freight experience.
  • Experience with ocean freight/LCL shipments.
  • Experience working with customs brokers.
  • Experience coordinating with suppliers in Asia.
  • Familiarity with freight platforms or systems such as FreightOS.
  • Experience with customs platforms such as ClearIt.
  • Experience coordinating with 3PLs.
  • Basic bookkeeping or accounting experience.

The Personality Fit Matters

The ideal candidate is a straight shooter.

We don't need someone who will sugarcoat a problem because they are worried about how it sounds. If a shipment is delayed, a supplier has made a mistake, or production is falling behind, we want someone who will communicate that immediately and start working on the solution.

You should be comfortable saying:

  • "This shipment is going to be late."
  • "The supplier hasn't completed this."
  • "Here's the problem, and here's what I recommend we do."
  • "I don't know yet, but I'll find out."

The business is scaling quickly, so the successful candidate needs to be comfortable figuring things out as they go rather than relying entirely on established processes.

What Success Looks Like

Within the first 30 days, you should be demonstrating that you can:

  • Quickly learn the company's systems and supply chain.
  • Take ownership of routine logistics coordination.
  • Keep POs, shipments, invoices, and documentation organized.
  • Proactively communicate with suppliers and logistics partners.
  • Identify problems before they become emergencies.
  • Reduce the amount of day-to-day logistics coordination required from the founder.

Over time, the goal is for this person to become the operational owner of the supply chain, giving the founder the freedom to focus on growing the business rather than coordinating every shipment, supplier, and production issue.
