The Opportunity

We are looking for a Legal Project Manager to sit at the center of how Legal Operations runs — coordinating the matter lifecycle end to end, onboarding incoming partners and their teams, and acting as the single accountable point of contact between Legal Operations and the rest of the business.

You will also own the data and knowledge backbone of the function — turning capacity, matter, and referral data into reporting the firm can act on. We are looking for someone who is naturally organized, comfortable operating across functions without formal authority over any of them, and who treats "who owns this next step" as a question that always has an answer.

What You’ll Do 

  • The matter lifecycle, end to end.  Opening, staffing, key milestones, status reporting and closing. Records that are accurate and current because you keep them that way, not because someone audits them. Sign-offs, approvals and closing checklists chased to completion rather than reported as outstanding.
  • Partner onboarding. Every workstream for an incoming partner and their team: systems access, conflicts, files, billing setup. Tracked to done. A partner joining Sterlington should experience this as one coordinated process, not as five functions contacting them separately.
  • The cross-functional interface. Routing requests to the right owner, translating between functions, and keeping initiatives moving without executing the specialist work yourself. You need enough literacy in Finance, BD and IT to speak each language credibly. You do not need to do any of their jobs.
  • AI-assisted workflow design. Sterlington is building toward a fully AI-augmented practice. In this role that means designing and running the AI-assisted workflows that sit around the matter lifecycle, and holding the line between what AI produces and what a lawyer reviews. This is not a support expectation bolted onto the role. It is one of the reasons the role exists.
  • The function’s operating data. Keeping matter and capacity data clean enough to be trusted, maintaining the reporting the firm already relies on, and flagging the patterns you can see in it: pressure points, referral opportunities, and where capacity is about to break. Building the firm’s full analytics and knowledge management capability is not in scope for this role, and we will say so plainly rather than write it into a job description and hope.

What We're Looking For

  • Experience in project coordination, ideally within a law firm, professional services, or Legal Operations environment
  • Working literacy in the matter lifecycle — how matters open, staff, progress, and close — even if you haven't run one yourself
  • Strong stakeholder management skills; comfortable being the point of contact between a specialist function and the rest of the business
  • Enough functional literacy in Finance, Business Development/Marketing, and IT to coordinate effectively with each — you don't need to do their jobs, but you need to speak their language
  • Strong written communication; able to translate between functions clearly and without losing nuance
  • Comfort with data and dashboards — capacity analytics, cross-referencing, and pattern recognition across matters
  • Experience with practice management, billing, or knowledge management systems, or evidence you've learned a comparable system quickly
  • Excellent organizational skills; able to track multiple workstreams and sign-off chains without dropping detail
  • Non-negotiable: ownership — the instinct to chase an open item to completion rather than wait for someone else to close it
  • Comfortable working to defined service standards and deadlines in a remote, cross-time-zone environment
