We are currently looking for an Import/Export Operations Specialist (IMEX Coordinator) to join our international team.

This is a position based in Warsaw, Poland. After the initial onboarding period of approximately 2–3 months, the role will follow a hybrid working model, with an expectation to work from the office 3 days per week.

As an IMEX Coordinator, you will be responsible for coordinating international import and export shipments and related documentation. You will work closely with internal teams, customers, logistics providers, and other external partners to ensure shipments are executed smoothly, accurately, and in line with applicable requirements.

Key Responsibilities

  • Coordinate international import and export shipments, including air and ocean transportation.
  • Monitor shipment progress and proactively resolve transportation, customs, and documentation issues.
  • Coordinate with customers, logistics providers, customs brokers, and internal stakeholders to ensure smooth shipment execution.
  • Prepare and verify import/export documentation in line with company procedures, customer requirements, and applicable regulations.
  • Ensure accurate and timely shipment data in SAP and other operational systems.
  • Apply Incoterms and support compliance with customs and international trade requirements.
  • Arrange inspections, relabeling, and other shipment-related activities when required.
  • Handle shipment exceptions and customer complaints, and support continuous improvement of logistics processes.

Skills & Qualifications

  • Bachelor's degree in Business, Supply Chain, Logistics, International Trade, or a related field.
  • Minimum 2 years of hands-on experience in import/export operations, international logistics, or a related field. Ideally, 2–5 years of relevant experience.
  • Good understanding of international shipping processes and documentation.
  • Basic to good knowledge of Incoterms and their practical application.
  • Experience working with SAP or a similar ERP system.
  • Good understanding of customs and import/export requirements.
  • Strong attention to detail and ability to work accurately with documentation and data.
  • Good analytical and problem-solving skills.
  • Ability to work independently while collaborating effectively with different teams.
  • Proactive and hands-on approach to resolving operational issues.
  • Good communication skills and ability to work in an international environment.
  • Good Excel skills.
  • Fluent English, written and spoken; additional European languages are a plus.
  • Knowledge of dangerous goods regulations, GTM processes, or experience in the chemical industry is an advantage, but not required.
  • Candidates must be eligible to work legally in Poland (EU citizenship or valid work authorization is required).
