As an HR Specialist, you’ll bring hands-on and administrative expertise to a wide range of HR functions, including employee experience and onboarding, talent acquisition, payroll and benefit administration, compliance, Learning & Development, and operational excellence. You’ll play a vital role in shaping the employee experience, supporting our teams, and driving initiatives that align with our values and HMA business goals.

What YOU will do:

Recruitment & Onboarding

  • Support the Recruiting Program Manager by coordinating interviews, communicating with candidates, and helping deliver a positive candidate experience that reflects HMA’s People First values.
  • Support HMA’s onboarding program by serving as an additional point of contact for new hires from offer acceptance through completion of onboarding activities, assist in scheduling and participating in new hire orientation sessions.
  • Coordinate pre-employment requirements, follow up on equipment, system access, and survey completion, and help ensure new hires are prepared for a smooth Day One experience.
  • Support I-9 verification and EEO data collection in accordance with applicable requirements and internal processes.
  • Partner with IT, Payroll, Benefits, and department leaders to help confirm equipment, access, and training needs are completed timely.

HR Administration

  • Provide administrative support to the Chief People Officer, Director of Human Resources, and People Operations team, including scheduling, document preparation, coordination, and follow-up.
  • Create, maintain, and update the annual HR calendar and related planning documents.
  • Support bi-weekly payroll processing by reviewing timecard readiness and following up on outstanding items.
  • Support leave of absence processes, including tracking, follow-up, and employee communications as directed.
  • Administer the quarterly recognition program through applicable systems and employee communications.
  • Administer the Learning & Development Reimbursement Program by reviewing submissions, supporting policy adherence, and coordinating timely reimbursement processing.
  • Maintain Smartsheet trackers and complete data entry updates as directed.
  • Draft and distribute internal communication materials, including the monthly HR newsletter, to support employee engagement and awareness.
  • Update People Operations SharePoint content as directed to help ensure resources remain current and accessible.
  • Provide back-up coverage for the Office Manager to support seamless day-to-day office operations, including support for large in-office events when needed.
  • Assist with employee mailing projects, including equipment shipments related to employee transitions and other internal employee communications or materials.
  • Support the design and content development of HR and company meeting slide decks, including Around HMA and Town Hall presentations.
  • Coordinate access requests for internal programs and serve as a central contact for routine permissions and onboarding support.
  • Respond to HR-related employee inquiries in a timely, professional, and service-oriented manner.
  • Serve as HMA’s point of contact for local agency inquiries related to routine workplace reporting requirements.
  • Support the planning and execution of HMA-sponsored events and employee experience initiatives.

L&D Administration

  • Administer LMS activities in Go1, including pulling reports, troubleshooting user issues, adding and removing users, assigning and publishing courses, and maintaining the content library.
  • Provide administrative support for L&D consultations by scheduling intake sessions and setting up Teams and SharePoint file management for each project.
  • Maintain the L&D SharePoint site, including newsletter content, HMA, People Operations, and L&D calendars, and related file management systems.
  • Support L&D survey administration, including creating and distributing post-training surveys.

Requirements

Knowledge, Experience and Attributes:

  • AA or BA in HR Management, Business Management, Communications or related study preferred.
  • 1+ years of HR Operations or corporate experience.
  • A passion for Human Resources and a desire to learn and grow.
  • Experience supporting recruitment processes, including interview scheduling, candidate communication, and onboarding logistics.
  • Strong interpersonal skills with a track record of responding to staff inquiries in a timely and professional manner.
  • Basic experience with shipping platforms such as FedEx for handling employee transition logistics.
  • Skilled in creating engaging slide decks for company-wide meetings and internal updates using tools like PowerPoint.
  • Familiarity with front desk operations, including visitor management and occasional reception coverage.
  • Ability to support corporate events, including planning, coordination, and presentation material development.
  • Ability to provide administrative support across HR functions such as benefits, leave of absence (LOA), performance management, and employee recognition.
  • Ability to curate and distribute newsletters and employee communications with clarity, consistency, and brand alignment.
  • Proficiency in Microsoft Suite (Outlook, Teams, Word, PowerPoint, Excel).
  • Capable and comfortable with using AI (CoPilot) to maximize efficiency.
  • Familiarity with HRIS systems, onboarding processes, & basic labor laws.

Compensation:

The base salary range for this position in the greater Seattle area is $64,000-$78,000 and varies dependent on geography, skills, experience, education, and other job or market-related factors. Performance-based incentive bonus(es) is available.
