About the Role

As our Facilities Manager, you'll be the single owner of managing the physical spaces where we care for patients. Today this work is spread across center managers, clinic staff, and outside partners. You'll take it off their plates and run it.

The care we promise patients applies to every part of their experience, including the building it happens in. For an 85-year-old with a walker, the parking lot, the height of the curb, and the front door are all part of the care. So is an exam room that's ready and comfortable when they arrive. You'll be the person who keeps our buildings working for patients and staff, so our teams can focus on delivering exceptional care to seniors.

This means being the person who knows every site, every landlord, and every open issue. When a clinic reports a problem, you own it until it's fixed and you tell the person who raised it what happened. When we open a new clinic, you're on the ground making sure it's ready on the day we said it would be.

This is the first dedicated facilities role at Greenbrook. You'll build the function as you run it, while we grow from six clinics to ten. Nobody hands you the playbook here, you write it.

Location: Tampa Bay Area, FL (on-site across our clinics, with daily travel between locations)

Key Responsibilities

Site Issues and Response

  • Be the single point of contact for facilities issues across all clinics, with an intake and triage process so every request has an owner and a target date
  • Close the loop with whoever raised the issue, and escalate fast when patient safety or clinic operations are affected

Landlord and Lease Management

  • Own the landlord and property manager relationship at every operating site, and hold them to their commitments
  • Scope, contract, and supervise repairs and maintenance we're responsible for as tenant
  • Maintain a critical date calendar and flag renewals and options early enough for us to negotiate from a position of strength

Vendors, Services, and Utilities

  • Build a bench of local trades with negotiated rates and known response times, and hold them to their commitments
  • Manage recurring and ongoing services: janitorial, waste and medical waste, pest control, HVAC, lighting, landscaping, power, water, security/ADT

Safety and Emergency Preparedness

  • Run safety and compliance walkthroughs on a set cadence with a documented issue log, supporting survey readiness and OSHA compliance
  • Keep parking, walkways, entries, and interiors safe and accessible for patients with limited mobility
  • Build and maintain an emergency plan for every site, and own the response when something goes wrong: get the site safe, keep leadership informed, get us back open

New Clinic Support

  • Be our on the ground presence for new clinic launches: site visits, vendor coordination, punch list follow-through
  • Handle certificates of insurance and landlord requirements through construction, then take over the landlord relationship at certificate of occupancy
  • Set up security, access control, signage, and recurring services so a new clinic opens ready to operate, working alongside the outside partner who leads the buildout

Systems, Budget, and Reporting

  • Build the systems this function runs on: request tracking, site records, vendor documentation, preventive maintenance schedules. Keep improving them as we grow.
  • Manage the facilities budget and forecast repairs and replacements so they're planned rather than urgent
  • Report on open issues, resolution times, and upcoming spend

You may take on other responsibilities as the business needs them. We're growing quickly and this role will change as we do.

  • Critical issues are resolved in days, not weeks
  • Clinical staff rate facilities support highly on our semi-annual survey
  • Every new clinic is facilities-ready by its committed opening date
  • No missed lease options or unintended auto-renewals
  • Every site has current records, a documented walkthrough history, and emergency plans

About You

You bring:

  • 4+ years of experience managing facilities across multiple sites, including vendor management and landlord or property manager coordination.
  • Experience working in a regulated or licensed environment where inspections, OSHA compliance, and safety standards are part of the role.
  • Strong organizational skills with a track record of following through and ensuring nothing falls through the cracks.
  • Sound judgment and the ability to prioritize issues based on urgency and business impact.
  • Clear communication skills with a habit of proactively updating stakeholders and closing the loop.
  • A self-starter mindset with the ability to work independently, solve problems, and build processes in a growing organization.
  • Valid Florida driver's license and reliable transportation.
  • Ability to be on your feet for extended periods, lift up to 50 pounds, and access mechanical and utility areas.
