Position Summary:
Analytic Services, Inc. (ANSER) is seeking an experienced Executive Support Analyst to assist Business Operators for National Defense (BOND) program personnel supporting the Department of War (DoW) Chief Information Officer (CIO). In this key role, you will provide personnel management and operational support that helps ensure the successful implementation of the program.
This position cannot support a hybrid or remote work schedule with all job duties performed full-time onsite at the Pentagon in Arlington, VA.
Day to Day Responsibilities:
- Support the Chief of Staff in aligning executive capabilities to operational needs across portfolios as well as manage BOND personnel’s daily task assignments.
- Coordinate personnel actions, including security, badging, IT access, workspace provisioning, onboarding and offboarding checklists, ethics documentation, and related administrative requirements.
- Provide administrative support, including scheduling, calendar management, meeting coordination, and routine correspondence, allowing BOND personnel to stay mission-focused.
- Support office operations through document preparation, data entry, records management, and review of materials for accuracy and compliance.
- Assist with travel coordination in the Defense Travel System (DTS), including monitoring changes and preparing required information.
- Support daily office operations, including supply requests, IT ticket submissions, equipment tracking, mail and package handling, and SharePoint updates.
- Anticipate hurdles and upcoming requirements, preparing relevant materials proactively, and solving administrative or logistical bottlenecks independently.
- Maintain records in accordance with established DoW and federal policies and procedures.
- Communicate professionally with internal staff and external stakeholders through written correspondence, email, and in-person engagement.
- Support special projects and other mission-related activities as assigned.
Required Qualifications:
- Possess an active TS/SCI security clearance.
- 14+ years of professional administrative support experience and a High School diploma. Bachelor’s degree in project management, human resources, business administration, government, public policy, organizational leadership or other related field may be substituted for 4 years of experience.
- Proven ability to navigate complex organizational structures and priorities to support talent-related decision‑making and ensure alignment with enterprise goals.
- Understanding of DoW processes and prior DoW experience supporting the onboarding and offboarding of civilian, senior civilian, and military personnel, including CAC and NIPR account requests and routing security clearance and ethics documentation.
- Prior experience developing, maintaining, and improving technical, managerial, procedural, and project-related documentation.
- Exceptional organizational and time management skills with a proven ability to manage multiple competing priorities.
- Exceptional interpersonal and communication skills and prior experience supporting GO/FO/SES clients or similar senior leaders in the DoW.
- Ability to take initiative, prioritize, plan, and execute with limited oversight in a fast-paced and high-visibility environment.
- High proficiency in Microsoft Office Software.
Preferred Qualifications:
- Prior experience supporting Office of the Secretary of War (OSW) clients.
