ROLES & RESPONSIBILITIES

Scope of the Role

The Executive Assistant to the General Manager provides high-level executive and administrative support to ensure the efficient operation of the organization. The role serves as a key liaison between the General Manager, APAC leadership, local cross-functional teams, customers, and external partners, facilitating effective communication, coordination, and execution of key business priorities.

In addition to managing executive priorities, the position supports business operations, governance processes, compliance-related activities, and commercial contract coordination to support organizational effectiveness, and execution excellence.

Core Job Responsibilities:

1. Executive Support:

  • Provide comprehensive administrative and executive support to the General Manager to ensure efficient management of business priorities and daily operations.
  • Manage the General Manager's calendar, travel arrangements, leadership meetings, and key stakeholder engagements.
  • Prepare presentations, reports, meeting agendas, meeting minutes, and executive correspondence.
  • Coordinate communications and follow-up actions on behalf of the General Manager.
  • Organize leadership meetings, business reviews, town halls, and other management activities.
  • Handle confidential and sensitive information with professionalism, discretion, and integrity.

2. Business Coordination & Stakeholder Management:

  • Act as a key liaison between the General Manager and internal stakeholders, including the APAC Leadership Team, regional functions, and local cross-functional teams.
  • Coordinate and follow up on strategic initiatives, projects, and action plans to ensure timely execution and alignment with business objectives.
  • Facilitate collaboration across Commercial, Marketing, Finance, Logistic, Service, Regulatory, Operations, and other support functions.
  • Coordinate leadership meetings, business reviews, town halls, customer visits, and other key business activities.
  • Support the Commercial team in coordinating contract review, approval workflows, and documentation requirements.
  • Track meeting outcomes and ensure follow-up actions are communicated to relevant stakeholders.
  • Build effective working relationships with local, regional, and APAC stakeholders to support business objectives.
  • Provide bilingual communication and translation support when required.

3. Governance, Compliance & Reporting Support

  • Support the coordination of commercial contracts, documentation, and approval processes in accordance with company policies and procedures.
  • Partner with the Office of Ethics & Compliance (OEC) and relevant stakeholders to facilitate compliance-related activities and governance requirements.
  • Ensure business documentation and activities comply with internal policies, procedures, and approval requirements.
  • Consolidate information and prepare routine business reports, presentations, and management updates.
  • Maintain trackers for key projects, business commitments, contract approvals, and action items.
  • Support special projects and initiatives assigned by the General Manager.

MINIMUM BACKGROUND/ EXPERIENCE REQUIRED

Qualifications/Experience:

  • Bachelor's degree in Business Administration, Economics, Languages, or a related field.
  • 2-5 years of experience in Executive Assistant, Business Coordinator, Administrative Support, or similar roles within a multinational environment.
  • Strong interpersonal skills with the ability to work effectively with senior executives and stakeholders across different levels of the organization.
  • Strong organizational, communication, and stakeholder management skills.
  • Excellent written and verbal communication skills.
  • Proven ability to work effectively with senior leaders and cross-functional teams.
  • Experience supporting commercial operations, contract administration, or compliance-related activities is preferred.
  • Proficiency in Microsoft Office applications, particularly PowerPoint, Excel, and Outlook.
  • Fluent in English, both written and spoken.
