We are looking for a reliable and well organised Executive Assistant to provide day to day administrative support to a senior executive based in Hong Kong/SG. This role focuses primarily on calendar management, travel coordination, and general secretarial duties, ensuring smooth and efficient office operations. The ideal candidate will be detail oriented, professional, and able to always manage routine administrative tasks with accuracy and discretion and a high standard of confidentiality

Key Responsibilities

Calendar & Schedule Management

  • Manage the executive’s daily calendar, including scheduling meetings, appointments, and calls
  • Coordinate internal and external meetings, including room bookings and meeting logistics
  • Monitor schedules and highlight potential conflicts or changes
  •  

Travel & Expense Coordination

  • Arrange business travel, including flight bookings, hotel reservations, visas, and ground transportation
  • Prepare travel itineraries and ensure all arrangements are confirmed in a timely manner
  • Support expense claim preparation and submission in accordance with company policies

 

Administrative & Secretarial Support

  • Handle incoming calls, emails, and correspondence on behalf of the executive
  • Prepare and format documents, presentations, and basic reports as required
  • Maintain organised filing systems and records (electronic and physical)
  • Manage office supplies and support simple administrative processes

 

Coordination & Support

  • Liaise with internal departments and external vendors on administrative matters
  • Support basic meeting preparation, including agendas and note‑taking where required
  • Assist with ad‑hoc administrative tasks as assigned

 

Requirements & Qualifications

  • Diploma or above; secretarial or administrative training is an advantage
  • Minimum 5 years of experience in a secretary or administrative support role
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Good written and spoken English;
  • Strong attention to detail and good organisational skills
  • Professional, reliable, and able to handle confidential information appropriately
