A Day in the Life

We are searching a highly organized and proactive Executive Assistant to support our Commercial Vice President in Brazil. The ideal candidate will possess exceptional communication skills, a keen attention to detail and the ability to manage multiple tasks efficiently. This role requires a high level of professionalism, discretion and the ability to work in a fast-paced environment. This position is based in São Paulo/Brazil and has an onsite working model.

Responsibilities may include the following and other duties may be assigned:

• Provides general administrative support including preparing communications and maintaining schedules.
• Manages the Commercial Vice President's calendar, ensuring effective prioritization of meetings, commitments, and business activities.
• Coordinates personal payments and administrative matters on behalf of the Commercial Vice President, ensuring accuracy, timeliness, and confidentiality.
• Performs normal office functions such as setting up and maintaining files; arranging meetings and conferences.
• Gathers, compiles and reports on information relevant to supervisor's assignment.
• Administers inter-department or inter-unit programs or processes.
• Coordinates domestic and international travel arrangements and manages the submission and follow-up of business expense reimbursements.
• Prepare and edit correspondence, reports, presentations, and other documents as needed.
• Act as a liaison between the Commercial Vice President and internal/external stakeholders, ensuring effective communication and timely follow-up.
• Conduct research and gather information to support decision-making and strategic planning.
• Handle confidential and sensitive information with the utmost discretion and professionalism.
• Actively participate in employee communities, engagement initiatives, and organizational events that foster collaboration and culture.

Required Knowledge and Experience:

• Bachelor's degree in Secretarial Studies, Business Administration, Communications, or a related field.
• Excellent written and verbal communication skills in Portuguese and English. Spanish is desired.
• At least 3 years of experience supporting senior leaders within multinational companies.
• Highly organized, proactive, and capable of managing multiple priorities in a fast-paced environment.
• Strong proficiency in Microsoft Office applications, particularly Outlook, PowerPoint, Excel, and Teams.
• Demonstrated interest in learning and leveraging AI-enabled tools and emerging technologies to improve productivity, organization, and business efficiency.
• Strong interpersonal skills, sound judgment, and the ability to maintain confidentiality at all times.
