Purpose:
This is a dual-focus role combining executive support with responsibility for our London front of house. As an Executive Assistant to our C-Suite, you will act as a trusted partner to our senior leaders — managing their time, communications and priorities with precision and discretion. Alongside this, you will ensure our London office presents a consistently professional, welcoming experience for visitors, clients and employees alike.
This is a role for someone who is equally comfortable preparing a board briefing pack and greeting a visiting client at reception. You will be proactive, highly organised and confident managing competing demands across both workstreams.
Responsibilities:
Executive Assistant Support
Manage complex and dynamic diaries for C-Suite executives, prioritising effectively across competing demands and shifting schedules.
Act as a reliable gatekeeper — filtering and triaging communications, and ensuring the right things reach the right people at the right time.
Coordinate meetings, appointments and engagements end-to-end, including preparation of agendas, briefing materials and follow-up action tracking.
Draft, review and send executive correspondence, presentations and documentation to a high standard.
Manage domestic and international travel — including flights, accommodation, ground transport, visas and detailed itineraries.
Prepare comprehensive travel packs and proactively manage disruptions, ensuring minimal impact to executive commitments.
Support confidential business initiatives and ad hoc projects with discretion and sound judgement.
Coordinate expense management and approvals in line with company policy.
Assist with the coordination of leadership team meetings, including logistics, papers and action tracking.
Front of House & Office Operations
Serve as the first point of contact for visitors, clients and guests — delivering a warm, professional and polished front-of-house experience.
Manage the reception desk, including answering and directing calls, handling deliveries, and maintaining visitor logs.
Oversee meeting room bookings and ensure rooms are set up and ready in advance of meetings.
Maintain office supplies, equipment and vendor relationships, ensuring the office is well-stocked and operational at all times.
Support the onboarding of new joiners, including desk setup coordination and office orientation.
Assist in facilitating internal events as directed by the Events and Communications lead.
Ensure front-of-house and communal areas are consistently presentable and reflect our standards.
Uphold confidentiality and data protection standards across all visitor and administrative processes.
Requirements:
3–5 years of experience as an Executive Assistant supporting C-Suite or senior leadership within a fast-paced, professional environment.
Proven ability to manage complex executive diaries and competing priorities with a calm, solutions-focused approach.
Experience coordinating domestic and international travel, including multi-leg itineraries.
Exceptional written and verbal communication skills, with the ability to draft high-quality executive documentation.
Strong organisational skills and meticulous attention to detail.
A confident, polished front-of-house presence — comfortable as the face of the business for senior visitors and clients.
Advanced proficiency in Microsoft Office Suite and modern collaboration platforms.
High degree of discretion, professionalism and sound judgement when handling confidential matters.
A proactive mindset — anticipating needs before they arise and taking ownership without being asked.
Experience supporting executives within a high-growth, technology or private equity-backed business (Advantageous).
