This is an exciting opportunity to join Civica Election Services (CES), a specialist team delivering ballot, election and democratic engagement services for organisations across the UK. Working with membership bodies, housing associations, health organisations, professional institutes, trade unions and corporate clients, CES helps organisations run secure, accurate and efficient voting processes.
As a Data Executive, you'll play a vital role in the successful delivery of these projects. Working across multiple live assignments at any one time, you'll prepare and validate data, manage personalised email campaigns, support print production and collaborate with teams across project management, digital, design, production and results services.
This role would suit someone who enjoys solving problems, working with data, and ensuring every detail is correct. Success isn't about coming from a specialist data background. We're looking for someone who is naturally curious, highly organised, comfortable managing competing priorities, and able to make sound decisions under pressure.

Key Responsibilities
• Examine, cleanse and prepare client-supplied data for postal mailings and email distributions
• Check datasets for duplicates, formatting issues and other data quality concerns using Microsoft Access and Excel
• Create and maintain data quality reports, working with clients to resolve data issues where required
• Prepare and manage personalised email campaigns using dedicated email distribution platforms
• Monitor and oversee high-volume email distributions, ensuring successful delivery and resolving issues where necessary
• Create variable data print setups using document composition software such as Quadient Inspire
• Work closely with project management, design and production teams to ensure mailing requirements are accurately delivered
• Ensure the most appropriate Royal Mail products are selected to maximise postal efficiencies and discounts
• Prepare print documentation and production files for mailing activities
• Support additional print and data requests during live projects and election periods
• Coordinate multiple projects simultaneously, balancing changing priorities and short delivery timelines
• Maintain accurate project records and documentation throughout the delivery lifecycle
• Leverage tools such as Copilot and Microsoft Office to improve efficiency and accuracy
• Support wider Data, Design and Digital team activities as required
Requirements
• Strong working knowledge of Microsoft Office applications, particularly Excel
• Experience working with data, databases, administration, operations, project support or other detail-oriented environments
• Excellent attention to detail with the ability to maintain accuracy under pressure and to tight deadlines
• Strong organisational and workload management skills, with the ability to oversee multiple assignments simultaneously
• Excellent communication skills and confidence working with both technical and non-technical stakeholders
• Good understanding of Windows operating systems and common file formats
• Curious, methodical and analytical approach to problem solving
• Ability to work independently while contributing to a collaborative team environment
• Experience using Microsoft Access, SQL or other database tools would be advantageous
• Experience of document composition tools such as Quadient Inspire or similar software would be beneficial
• Knowledge of HTML, email marketing platforms or digital communications would be advantageous
• Experience working within a project-based environment would be desirable
• Understanding of Royal Mail mailing products and Mailmark would be beneficial
• Knowledge of VBA or other programming/scripting languages would be advantageous
• An interest in elections, governance, member engagement, or democratic processes would be beneficial
