About this Compliance Manager (Dental) role at Riccobene Associates Family Dentistry

Riccobene Associates Family Dentistry · Onsite · Cary, North Carolina, United States

Position Summary

The Compliance Manager owns day-to-day execution of the compliance program across all Riccobene Associates Family Dentistry supported offices. Reporting to the Chief Compliance Officer, this role is accountable for OSHA, HIPAA, infection control, radiation safety, and sedation program compliance; for onsite audits and the corrective actions that follow them; and for regulatory and policy training delivered through our Learning Management System (LMS) and in person. The Compliance Manager oversees the tasks and training of office-level Radiation Officers and OSHA Officers, teaches and coordinates CPR courses throughout the year, and serves as the field's first point of contact for compliance questions, incidents, and investigations.

This is an ownership role, not a support role. The Compliance Manager sets the cadence, drives issues to closure, documents how we operate, and escalates real risk early. The work is project driven across a multi-state footprint, so the right person is organized, detail oriented, and comfortable moving several workstreams forward at once with limited day-to-day direction.

What You'll Own

Program ownership. Maintain and advance the compliance program across OSHA, HIPAA, infection control, radiation safety, sedation and anesthesia, and applicable state dental board requirements in North Carolina, South Carolina, and Virginia. Keep compliance manuals current, including Radiation Safety, OSHA, Injury Reporting, and Sterilization documentation.

Onsite audits and corrective action. Complete scheduled office visits using standardized checklists covering OSHA, infection prevention, radiation safety, and sedation. Document findings, assign corrective actions with clear owners and due dates, and verify closure. Administer the RAC and VAC chart audit programs.

Radiation safety. Manage equipment registration, state registrations, inspections, and shielding documentation. Run the radiation badge monitoring program end to end, including badge ordering, follow-up investigations, and communicating dosimetry notifications to office personnel and leadership. Hold office-level Radiation Officers accountable for timely completion of tasks and training.

Sedation program. Maintain permit and renewal tracking, emergency kit and equipment checks, monitoring documentation standards, and the emergency drill cadence at each applicable location. Prepare offices for sedation inspections and oversee assistant training requirements.

Training and LMS administration. Build and maintain course content, assign and monitor completion, report progress to leadership, and escalate delinquency to Operations partners. Teach and coordinate CPR/BLS certification courses for clinical and non-clinical teams.

Investigations and complaints. Intake, investigate, document, and close out compliance concerns, incident reports, and patient complaints. Manage workplace injury reporting, workers' compensation documentation, and incident trend analysis. Respond to legal and regulatory requests involving compliance documentation and patient record release. Partner with Human Resources, Operations, and outside counsel where matters overlap.

SOPs, systems, and vendors. Write and maintain compliance SOPs, checklists, and forms, and keep the compliance library current as the organization grows. Administer user access on compliance platforms and audit rosters to confirm all active users are current employees. Facilitate provider enrollment in DoseSpot for electronic prescribing. Serve as point of contact for compliance vendors covering medical waste and sharps, biological monitoring, radiation physics and dosimetry, nitrous, and CPR/AED, including scheduling, service quality, and invoice review.

Reporting and relationships. Maintain standing check-ins with the Chief Compliance Officer, Regional Managers, and Office Managers, and deliver regular compliance reporting to leadership. Communicate credibly with doctors and clinical teams, and hold a firm line on a regulatory requirement without escalating conflict.

What You Bring

  • Three or more years of healthcare compliance, regulatory, or clinical operations experience. Dental or DSO experience is a plus.
  • Working knowledge of OSHA, HIPAA, and infection control standards. Multi-state experience is a plus.
  • Sound judgment: the ability to interpret facts quickly, separate genuine risk from noise, solve problems independently, and know when to escalate.
  • Microsoft Office proficiency including intermediate Excel, and the ability to pick up LMS, form-building, and reporting tools quickly.
  • Willingness to travel up to 50% with overnight stays. A valid driver's license and reliable transportation are required. Days without office visits are based at [the Support Center].
  • CPR Instructor certification, or willingness to obtain it. We provide the training.

Nice to have: an associate's or bachelor's degree, a clinical credential (RDH, CDA, RDA), or a compliance certification (CHC, CHPC).

Physical Requirements

Ability to travel by car for extended periods, move about dental office environments, and occasionally lift up to 25 pounds. Work is performed in dental clinical and administrative settings where exposure to standard clinical hazards is controlled through the practices this role oversees.
