Reports To: CoE Manager / Head of Professional Development 

On-site reporting: Centre of Excellence (Support Office) - permanent placement, not deployed to schools

Purpose of Role:

The CoE Administrator is a permanent, Support Office-based professional who keeps this engine running smoothly — managing the scheduling, records, communications and logistics that allow Locum Educators to be deployed, trained and tracked across the network without delay or confusion. 

This is a coordination and systems role, not a training or teaching role. The Administrator is the first point of contact for deployment logistics, the custodian of accurate educator records, and the connective link between the CoE team, school Principals and the wider Support Office. 

  • Coordinates the day-to-day scheduling and deployment logistics of Locum Educators across the school portfolio. 
  • Maintains accurate, up-to-date records of educator training, certification status and deployment history. 
  • Acts as the administrative link between the CoE, schools and the Professional Development Facilitator, ensuring information flows accurately and on time. 
  • Supports the smooth running of training sessions, workshops and certification events hosted by the Centre of Excellence. 
  • Operational 

Deployment Scheduling & Logistics 

  • Coordinate same-day, next-day and advance-planned deployment of Locum Educators to schools, in line with real-time need across the portfolio. 
  • Maintain the master deployment calendar/roster, flagging gaps, clashes or under-coverage to the CoE Manager promptly. 
  • Communicate deployment instructions clearly and in good time to Locum Educators, including school location, subject/grade level, and reporting details. 
  • Liaise with school Principals and Operations Managers to confirm placement details, resolve last-minute changes and track attendance on the day. 
  • Track educator availability, travel constraints and placement preferences to support fair and efficient scheduling. 

Records, Data & Reporting 

  • Maintain accurate, current records of each educator's training completion, certification tier (Tier 1, 2 or 3) and deployment history. 
  • Capture and file attendance registers, lesson records and other data submitted by educators and schools. 
  • Prepare regular reports on deployment activity, coverage rates and educator readiness for the CoE Manager and Professional Development Manager. 
  • Ensure all educator documentation — qualifications, SACE registration, criminal record checks — is complete, valid and securely filed before deployment. 
  • Support data analysis on placement trends and educator performance to inform CoE planning. 

Training & Event Coordination 

  • Coordinate logistics for pre-placement training, orientation sessions, workshops and learning sprints run by the Centre of Excellence. 
  • Manage the COE operations and training hospitality demands 
  • Book venues, prepare materials and manage invitations/attendance tracking for CoE training events. 
  • Support the Professional Development Facilitator with administrative preparation for observations, assessments and certification sessions. 
  • Assist with onboarding logistics for newly recruited Locum and Generalist Educators joining the CoE pipeline. 

Centre of Excellence Operations 

  • Serve as a first point of contact for Locum Educator queries relating to scheduling, documentation or logistics. 
  • Attend and contribute to CoE and Support Office team meetings, taking and distributing action points where required. 
  • Communicate professionally with school staff, Support Office teams and educators in line with SPARK protocols. 
  • Adhere to the network's child protection, anti-bullying, health and safety policies at all times, including in record-keeping practices. 
  • Continuously look for ways to improve the efficiency and reliability of CoE administrative systems and processes. 
  • Manage the receipt and sending of courier parcels and deliveries 
  • Facilitating between Support and Schools in regard to various team requirements

Requirements

Qualifications and experience:

The ideal candidate will possess the following qualifications: 

    • Professional proficiency in English 
    • Matric / Grade 12 certificate required; a diploma or degree in Administration, Business, Education or a related field is advantageous 
    • Clear criminal record 
    • Prior experience in a scheduling, coordination, HR or administrative or operations support role, ideally within an education or multi-site environment 
    • Strong working knowledge of Microsoft Office / Google Workspace and comfort learning new scheduling or database systems
