Join our team as a Talent Acquisition Coordinator!
This role will be approximately 3-6+ month contract role with a fixed hybrid schedule (onsite Tuesday, Wednesday, and Thursday; remote Monday/Friday) in Maple Plain, MN.
Join Protolabs’ Global Talent Acquisition Center of Excellence (COE) team as a Contract Talent Acquisition Coordinator. In this role, you will provide critical administrative and operational support to the global recruiting team, helping to attract, engage, and hire top talent across the organization. You will play a key role in coordinating recruiting activities, managing candidate logistics, and ensuring a seamless hiring process from start to finish. This position is ideal for a highly organized, detail-oriented professional who is passionate about delivering an exceptional candidate experience while supporting a fast-paced, global talent acquisition function.
What You'll Do
Provide administrative and coordination support to the Global Talent Acquisition team, HR partners, hiring managers, and candidates throughout the recruitment process.
Create and manage job postings on the Protolabs career site and external job boards to support hiring needs across the organization.
Coordinate and schedule interviews globally, including phone, virtual (Microsoft Teams), and in-person interviews across multiple time zones.
Support full-cycle recruitment activities for entry-level, intern, temporary, and select internal positions.
Serve as a primary point of contact for candidates, providing timely communication regarding interviews, hiring status, and pre-employment requirements.
Initiate, track, and complete pre-employment processes, including background checks, drug screenings, reference checks, and offer-related documentation.
Assist in the planning, coordination, and execution of career fairs, campus recruiting events, and other talent attraction initiatives.
Support internship and contingent workforce programs, helping ensure a positive experience for candidates and hiring teams.
Guide candidates through the application process and respond to questions regarding opportunities and recruitment procedures.
Respond professionally to inquiries from candidates, recruitment agencies, and other external stakeholders via phone, email, and in person.
Maintain accurate recruiting records and ensure compliance with company policies and hiring processes.
Identify opportunities to improve recruitment operations, candidate experience, and administrative processes.
Coordinate candidate and employee travel arrangements related to recruiting activities.
Contribute to special projects and perform other recruitment-related and administrative duties as assigned.
What It Takes
Bachelor’s degree in Human Resources, Business Administration, or a related field preferred; equivalent combination of education and relevant experience will be considered.
1–3 years of experience in talent acquisition coordination, recruiting operations, human resources, or a related administrative role.
Proven ability to manage multiple priorities and deadlines in a fast-paced environment while maintaining a high level of accuracy.
Proven ability in supporting teams and stakeholders across multiple locations and time zones.
Strong collaboration skills with a demonstrated ability to build positive working relationships across all levels of the organization.
Highly organized with excellent time management skills and a strong sense of urgency.
Exceptional written, verbal, and interpersonal communication skills.
Strong attention to detail and commitment to delivering high-quality work.
Ability to work both independently and as part of a collaborative team.
Adaptable, flexible, and comfortable navigating changing priorities and business needs.
Demonstrated professionalism, discretion, and ability to handle sensitive and confidential information.
Self-motivated, proactive, and capable of managing workload with minimal supervision.
Proficiency with Microsoft Office applications and experience working with applicant tracking systems (ATS) or HR systems is a plus.
