Overview of the role

The Project Lead – Ingredients is accountable for the operational discipline of the Ingredients research programme within Passport. The role owns how the work gets done: who does what, to what standard, by when, and across which teams. 

The role reports into the Senior Product Manager – Ingredients and delivers through a cross-functional group that includes Data Specialists, VIA, Catalyst, CPT, Data Delivery, Data Science, EMMA and the global research teams. It leads through process and influence rather than through line management. 

Two features distinguish this post from a conventional project management role. The first is the cross-functional setting. Ingredients is delivered largely by teams the role does not own, and a significant volume of work sits ambiguously between functions. Defining and holding that boundary is the central challenge of the job. The second is commercial exposure. The Project Lead is expected to spend meaningful time in front of clients and to convert delivery quality into Passport retention.

What you’ll do

. 1. Cross-Functional Operating Model and Boundaries (25%) 

  • Build, publish and maintain the RACI for the Ingredients programme, covering every recurring activity across Ingredients, Data Specialists, VIA, Catalyst, CPT, Data Delivery, Data Science, EMMA and the global research teams. 
  • Define explicitly what Ingredients owns, what it consumes from partner functions and what it hands off — then hold that boundary when work drifts back to the team. 
  • Establish the operating rhythm: cycle planning, interlock meetings, dependency tracking and a single escalation route for blocked work. 
  • Agree service expectations with each partner function — what is required, in what format, by when — and track delivery against them. 
  • Document how the Ingredients team is positioned within the wider cross-functional model so partner teams and new joiners understand the remit without needing to ask. 
  • Surface capacity conflicts and resourcing gaps early to the Senior Product Manager – Ingredients, with options rather than problems. 

2. Quality Control and Upstream Data Assurance (25%) 

  • Design and roll out standardised quality control templates for each stage of the cycle: specification, recipe build, ingredient share calculation, validation and publication. 
  • Act as the quality gate on data handed over by VIA, Catalyst and other upstream sources. Check it on receipt and take accountability for identifying errors at handover, rather than allowing them to surface once the data is live on Passport. 
  • Build early-warning checks — completeness, range, outlier, category coverage and period-on-period comparison — so anomalies in upstream feeds are visible before the data enters the build. 
  • Define pass and fail thresholds and exception-handling rules for unstable inputs, particularly web-scraped sources with fluctuating outputs. 
  • Run structured quality gates at each cycle milestone, with sign-off recorded and issues tracked to closure. 
  • Maintain a defect log, analyse recurring failure modes and agree corrective actions with the originating team so the same error does not recur. 
  • Ensure every category is checked to the same standard regardless of who executes it — consistency should come from the templates, not from individual judgement. 
  • Own version control and documentation for all quality control assets. 

3. Delivery Execution and Cycle Management (20%) 

  • Plan and run the annual research cycle across ingredient categories: sequencing, milestones, dependencies and critical path. 
  • Track progress against plan and report status to the Senior Product Manager – Ingredients in a consistent, decision-ready format. 
  • Coordinate the translation of ingredient lists and scraped content into measurable ingredient shares, working alongside the Data Specialists. 
  • Manage rollout documentation, PMP messaging and methodology notes for client transparency, to agreed standards. 
  • Support timely publication through EMMA, DSS and VIA, resolving operational blockers before they affect publication dates. 

4. Client Engagement and Passport Retention (20%) 

  • Hold regular, planned contact with Passport clients using Ingredients, rather than responding only when a query arrives. 
  • Handle client questions on definitions, coverage, sourcing and methodology, escalating where a methodology decision is required. 
  • Use TDAs as a retention instrument: ensure the team plans, runs and follows up on TDAs in a way that demonstrates value to the account and gives the client a reason to re-engage ahead of renewal. 
  • Track which accounts are using Ingredients, how they are using it and where usage is thin, and work with Sales, Client Engagement and Consulting on the accounts most at risk. 
  • Feed client feedback into the quality control templates and the cycle plan so recurring complaints are designed out rather than answered repeatedly. 
  • Provide subject-matter input to Sales and Consulting on scope and coverage questions, within agreed limits. 

5. Team Readiness, Upskilling and Knowledge Sharing (10%) 

  • Run structured knowledge shares with the team so that changes to process, methodology and tooling are understood by everyone who has to apply them. 
  • Assess capability gaps across the team and build the upskilling needed to close them, particularly on data handling, quality checks and client-facing communication. 
  • Set up regular feedback conversations with team members — two-way, documented, and focused on how people are working, not only on what they have delivered. 
  • Get the team ready ahead of each cycle: briefed on scope, templates and expectations before work starts rather than during it. 
  • Maintain Ingredients SOPs and process documentation, keeping them current as the operating model changes. 
  • Share templates, RACI patterns and quality control approaches with the wider project management community. 
  • Run a short post-cycle review after each build and convert the findings into specific, owned process changes. 

What we’re looking for

  • Experience working with data and managing projects, with evidence of running a recurring delivery cycle end to end. 
  • Demonstrated ability to deliver through teams the postholder does not manage, and the confidence to hold a boundary without formal authority. 
  • Practical experience building process artefacts — RACI matrices, SOPs, quality checklists, workflow documentation — that other people go on to use. 
  • Strong quantitative and analytical ability, with confidence working across multiple data sources and methodologies. 
  • A systematic approach to error detection and a high tolerance for detail, including the ability to spot anomalies in a data handover before they reach a client-facing platform. 
  • Experience coaching or upskilling colleagues, and comfort both giving and receiving structured feedback. 
  • Confident client-facing communication, including the ability to explain methodology and data limitations to a commercial audience without defensiveness. 
  • Commercial awareness: an understanding of how delivery quality and client contact translate into renewal. 
  • Clear written communication, particularly for documentation that must stand on its own without the author present. 

Desirable 

  • Familiarity with market research or data platforms; exposure to Passport, EMMA, DSS or VIA is an advantage. 
  • Exposure to ingredients, food, beauty and personal care, or formulation-level data. 
  • Experience supporting trade or expert interview programmes. 
  • Comfort operating in a developing data landscape where sources and methods are still evolving.
