About the Company
A venture-backed digital health company focused on migraine and headache care is looking for a Staff Product Operations Manager to own execution and act as the connective tissue across product, design, engineering, clinical, and operations teams.
The company has crossed 1,000+ active patients and is scaling quickly, pairing specialist-led clinical care with a virtual-first, personalized treatment model. The team is lean and design-first, with strategy owned by the founding team — this role owns execution, not roadmap definition.
About the Role
This is a senior individual-contributor role responsible for turning ambiguous, fast-moving requirements into clear specs, acceptance criteria, and documentation before work begins. The person in this seat becomes the source of truth for what was decided and what's still in flight — catching scope changes mid-sprint, keeping documentation current, and using AI tools daily to accelerate their own output. Success means every team knows exactly where a feature stands and what "done" looks like, with nothing moving to build without sign-off.
Core Responsibilities
Requirements & Documentation
- Gather requirements and business logic from design, engineering, clinical, and operations stakeholders before work begins
- Define acceptance criteria and "done" alongside design for every feature
- Document edge cases and secure sign-off from the right stakeholders before build starts
- Maintain feature specs and process documentation across the full lifecycle, not just first drafts
Launch Management
- Drive feature launches from testing through release across design, engineering, clinical ops, and training
- Set clear owners, timelines, and acceptance criteria for each launch
- Coordinate directly with trainers to confirm clinical and ops staff readiness before go-live
Performance Tracking & Feedback
- Manage post-launch A/B testing and performance tracking across clinicians, operations staff, and patients
- Collect and synthesize internal user feedback to flag where the product is meeting or missing goals
- Feed data-driven insights into the next roadmap iteration
Decision Tracking & AI-Powered Execution
- Capture what was decided, by whom, and why, and translate decisions into tickets with clear requirements
- Track requirements across their full lifecycle, flagging gaps before they create downstream problems
- Use AI tools daily to draft documentation, synthesize meeting notes, surface action items, and automate routine work
Requirements
Must-Have
- 2 - 3 years of experience in product operations, program management, or a comparable execution-focused role shipping software products
- Scrum Master experience.
- Demonstrated experience writing requirements documentation and defining acceptance criteria for software features
- Hands-on proficiency with project and task management tools such as Linear, Jira, or Asana
- Daily, demonstrable use of AI tools to write documentation, synthesize meeting notes, surface action items, and automate workflows
- Experience working directly alongside design and engineering teams on how software is built
- Experience shipping products with operations or clinical staff as primary end users
- Background in health tech, digital health, or clinical operations
- C1+ English (CEFR) for clear, precise written and verbal cross-functional communication
Nice-to-Have
- Experience at a startup or early-stage (seed / pre-Series A) company
- Background in product management, program management, or product operations as a defined discipline
- Experience coordinating end-to-end product launches, including training and readiness
- Experience running post-launch A/B testing and performance tracking across user groups
- Willingness to travel to the United States as needed.
