We currently operate in the States of Illinois, New York, Massachusetts, Ohio, Pennsylvania, Maryland, Colorado and Michigan as a medical and/or adult use cannabis provider to patients and customers. Job Summary

This position will require local travel within the State. The Fulfillment and Inventory Assistant Manager is responsible for safely, securely, and lawfully transporting cannabis to dispensaries and samples to laboratories, as well as ensuring strict adherence to state law and all delivery and manifest protocols and controls. The Fulfillment and Inventory Assistant Manager may work alongside a partner to provide security for the staff and product from our cultivation facilities to off-site locations. The Fulfillment and Inventory Assistant Manager is responsible for a variety of duties on the Analytics Team and will help verify and ensure the accuracy of the data coming from the Manufacturing, Processing and Supply Chain Departments in Maryland. The focus is to ensure inventory accuracy across all systems (METRC/Biotrack/MJ Freeway/Dynamics NAV/CounterPoint/Leaf Trade/LeafLink), and our internal Google Sheets through physical and digital reconciliation. In addition, the Fulfillment and Inventory Assistant Manager will be responsible for verifying the accuracy of data entered by other departments and assisting in any reporting duties as needed. This position requires a high attention to detail and an intermediate working knowledge of Dynamics NAV/CounterPoint, state seed to sale systems, Google Sheets, and Excel. The position provides regular and timely communication with Analytics, Manufacturing, Supply Chain, Quality Assurance and Processing management as well as team members within those departments. The Audit Specialist is expected to operate under the highest standards of compliance and professionalism. Fulfillment and Inventory Assistant Manager also may provide back-up for other departments.

Essential Duties

  • Assist management and the fulfillment team with scheduling, prioritizing, and routing for maximum efficiency. Assist with coordinating assignments and projects with the appropriate personnel and provide on-site direction to crews when needed
  • Assist and coordinate with the courier team to arrange basic vehicle maintenance and repairs of all delivery vehicles
  • Must be able to work alongside a partner, in a cooperative and professional team environment, to provide secure product delivery from our cultivation facilities to off-site locations
  • Assist with packaging deliveries, checking them against order forms, and ensuring product is properly secured prior to delivery
  • Accurately create, file, and maintain manifests and/or cash transaction logs, for each delivery
  • Ensure compliance and accuracy involving all product tracking, product security, and product delivery
  • Cross train and provide coverage in the warehousing, processing, analytics, and manufacturing departments, as business needs require. Assist with training new staff as needed
  • Conduct cycle counts of finished products and raw materials in NAV/Google Sheets to compare against physical counts on hand and data within METRC. Conduct physical audits of work in progress material to confirm accurate data in internal tracking systems
  • Perform digital audits of products to compare data from internal inventory systems to state seed to sale tracking systems
  • Verify data uploads to LeafLink/Leaf Trade to ensure accuracy of online menus
  • Track and document cycle count results to create a record of inventory audits
  • Ensure completeness and accuracy of all counts
  • Investigate and assist with resolution of inventory discrepancies to identify root causes.
  • Document inventory discrepancies to ensure accountability and identify opportunities for process improvement
  • Prepare facilities for and assist with end of year third party inventory audits
  • Assist with resolution of Analytics support tickets. Coverage in other regions and departments of Analytics. Occasional coverage/assistance for data entry
  • Run reports in METRC/Biotrack/MJ Freeway, CounterPoint and NAV in relation to on hand inventory and raw materials
  • Accurately compile and scrub data to report on a wide range of activities in multiple departments as assigned
  • Ensure compliance with all state and federal regulations
  • Ensure that workflow and work procedures are documented and that appropriate controls and audit are in place to ensure data and processing integrity
  • Use data to identify areas where there is the opportunity to grow.

Qualifications

  • High School diploma or equivalent required. Bachelor’s degree preferred.
  • Pass a comprehensive background check that includes criminal history
  • Proficient in basic computer skills
  • One to three years of data entry experience is required.
  • Intermediate working knowledge of Google Sheets and/or Excel required.
  • One year of experience working in METRC, Biotrack, or MJ Freeway preferred.
  • Prior experience working within Dynamics NAV, CounterPoint, or similar inventory tracking systems preferred.
  • Data analysis experience preferred.
  • Demonstrated oral and written communication skills.
  • Knowledge of inventory management and adherence to FIFO.
  • Knowledge of state and federal employment laws relating to key areas of responsibility.
  • Valid driver’s license and ability to successfully pass a Motor Vehicle Record background check. Maintain a current driver’s license and good driving record
  • Confident navigating a vehicle by using maps and GPS
  • Communicate well, in a professional manner with employees and customers
  • Ability to sit for long periods of time and get in and out of an automobile several times a day. Must be able to lift up to 50 pounds, carry product, totes, and push carts
  • Carry out all procedures in a safe and efficient manner that also complies with OSHA regulations, PharmaCann SOP’s and all applicable state and federal guidelines

Working Conditions

  • May require weekends, holidays, and overtime according to business needs
  • Regular and on-time attendance required
  • Must remove all jewelry, including rings, brooches, watches, pins, earrings, necklaces, and visible piercings. In addition, false nails, nail polish, false eyelashes and any other object that may possibly contaminate food is not allowed in the processing/production areas
  • This position requires the ability to perform driving in a safe manner, in all four seasons, the ability to sit for long periods of time and get in and out of an automobile several times a day. Ability to utilize arms at extended position for long periods.
  • Must be able to lift up to 50 pounds, lift/carry product, totes and push/pull carts.
  • Able to use a computer for extended periods of time.
  • Able to move about a typical office, manufacturing, warehouse, or retail environment
  • Able to perform general office managerial and administrative activities.
