We're recruiting an organised and reliable Administrative Assistant to support a busy and
expanding psychotherapy practice in California.
This role is ideal for someone who enjoys structured administrative work, is highly
detail-oriented, and has excellent customer service skills.

Key Responsibilities
● Update and maintain Excel and Google Sheets
● Transfer and organise information from internal systems
● Track business KPIs and administrative data
● Update backend forms and internal documentation
● Support general administrative tasks
● Use Gmail and other cloud-based software daily
● Provide cover for the existing Administrative Assistant when required
● Return client enquiries via phone and conduct brief 15-minute consultation calls with
prospective clients when needed (only on occasion)
Requirements
● Previous administrative experience
● Strong Excel and/or Google Sheets skills
● Excellent organisational abilities
● High level of accuracy and attention to detail
● Professional written and spoken English
● Confident communicating with clients over the phone
● Comfortable handling confidential information (experience within healthcare or
HIPAA-compliant environments is beneficial but not essential)
