Your Responsibilities

Staff Development and Leadership

• Partner with Talent Acquisition and HR Operations to attract and hire exceptional team members through Greenhouse.
• Collaborate with Learning & Development to train, develop and provide leadership to exceptional team members to ensure the property can operate effectively and to ensure team members are pursuing the next step in their Scion career.
• Accountable for scheduling appropriate property staffing at all times, including after hour on-call shifts, being the primary responder.
• Elevate employee experience through data, conversations and team building to ensure high morale.

Property Administration

• Prepare, respond and advise on all community aspects including market, physical condition, policies, procedures and onsite emergencies with partner departments.
• Engage internal Legal department for vendor management, risk management, court appearance and contract administration matters.
• Conduct quarterly apartment inspections to assess damage and identify property improvements to address.

Facilities & Capital

• Accountable for safe and sanitary community experience for employees, residents and guests including curb appeal, operationally sound facilities, common areas and preventative maintenance.
• Uphold The Scion Standard by conducting monthly property walks and submitting scorecard assessments around inspections.
• Maintain and audit valid building and system permits to ensure that the property complies with all codes and company standards.
• Responsible for identifying all capital expenditures improvements needed at the property and working with Regional Manager and Facilities & Capital Department on approval and execution of new projects.
• Obtain vendor bids on all projects and gain approval for projects that exceed the budgeted threshold for the property.

Annual Turnover Process

• Proactively plan and execute annual turnover process with the Assistant General Manager and Facilities Supervisor to ensure all team members and vendors have clear goals and expectations to meet deadlines.
• Partner closely with Talent Acquisition to adequately staff the property for support with annual turnover deadlines.
• Forecast and manage financial performance of annual turnover process to keep controllable property expenses within budget.
• Utilize Turnable to create, manage and update electronic turnover board to ensure adequate progress is being made and deadlines are being met.
• Conduct move-out inspections and vendor service walks to ensure units are ready for resident move-in dates.
• Provide hands-on help throughout all turn related tasks, including but not limited to moving furniture and appliances, assisting facilities team with punches, organizing high volume of resident trash and cleaning turnover units.

Financial Performance

• Work closely with partner departments for financial aspects of the property such as preparing annual and capital budgets, managing property expenditures, invoice entry, payroll, inventory, collection policies, forecasting, meeting revenue targets, credit card reconciliation, variance reporting, vendor service agreements and month-end processes.
• Proactively seek out ways to add revenue and/or reduce expenses to enhance Net Operating Income.

Customer Experience & Sales

• Implement and maintain Scion’s customer experience philosophy including but not limited to brand integrity, reputation management, resident events, work order management, turnover, hiring and developing staff with a customer experience mindset.
• Accountable for monitoring customer feedback via internal surveys and reputation platforms to develop action plans for promptly improving the resident experience.
• Accountable for achieving all unique Key Performance Indicator set for the property.
• Support AGM with escalated resident concerns and assist in de-escalating situations when needed.
• Accountable for achieving revenue targets such as market rates, gain to lease, concessions, and leasing velocity.

Your Responsibilities

• Demonstrate proficiency in Building Automation Systems (BAS), Entrata and CMMS systems for timely logging of service requests and completed work.
• Maintain the physical condition of the property according to The Scion Group’s Standard Operating Procedures, OSHA and Industry’s standards.

• Assume responsibility (as required) over operating, system monitoring/diagnostics, and preventative testing for major building systems such as: chilled water systems with fan coil units, air handling units with outside condensers including roof top units (RTU), building stationary boilers, hot- & cold-water distribution systems (plumbing, pressure/pneumatic/storage tanks, variable frequency drive (and pumps & motors), domestic hot water heaters, building automation systems (BAS), electrical distribution systems, switchgears and controls, generators, uninterrupted power supply (UPS), elevators and lifts, parking structures (ventilation/drainage systems, T-Joints), entrance & exit gates and overhead doors, shingled/tarred roof, TPO membrane roofing system, EIFS, brick, vinyl, & cementitious sideboard, ACP, curtain walls, and insulated glass units (IGUs).
• Operate system monitoring/diagnostics, preventative testing for life safety systems such as: fire pumps, fire alarm monitoring panels, dry/wet sprinkler systems, visual and audible alarms, back flow preventers, smoke detectors, CO2 sensors/alarms, fire extinguishers, emergency lighting, means of egress, and fire dampers.
• Assist in creating emergency and disaster preparedness plans and protocols.
• Maintain key management protocols and security, unlocking apartment doors and accompany/escort various vendors as needed.
• Coordinate delivery and work schedules with vendors, contractors as approved by the Facilities Supervisor.
• Coordinate maintenance objectives and daily assignments with the Supervisor.
• Diagnose and perform routine maintenance/repair in a timely and professional manner.
• Assure all service requests are completed daily.
• Document work performed and parts used; and submit daily upon completion, including legible notes on what was done, the supplies used, further follow-up and materials needed, date and signature of completion.

• Inspect vacated apartments and record necessary repairs and maintenance, informing the Facilities Supervisor of needed services and repairs.
• Routinely perform duties including basic appliance repair, general carpentry, plumbing/fixture repair, painting, and basic electric & lighting to make apartments ready on a timely basis, and ensure meeting completion dates set by the General Manager/Property Manager.
• Routinely inspect interior common areas and the exterior of the property, ensuring daily upkeep of all common areas with company standards, and all the light fixtures are in working order.
• Complete preventive maintenance tasks on all equipment and operating systems to ensure warranty compliance and extended useful life.
• Clean coils and condensers, lubricate equipment, maintain air filters and perform minor repair work as assigned.
• Perform routine clean up at repair location or in maintenance shop, keeping working area clean and safe. 
• Maintain parts and supply inventory, as authorized.
• Clean and organize the workshops, storerooms, boiler rooms, and utility rooms.
• Clean pools; adjust and maintain chemicals to proper levels, if needed.
• Pressure-wash sidewalks, buildings, pool decks, etc.
• Assist in snow removal at property, as required.
• Assume responsibility for after-hours emergencies at the direction of the company supervisor/manager.
• Undertake training related to job duties as deemed necessary.

• HVAC certification/EPA 608 certification (Core, Type I, II & III)

Your Responsibilities

• Manage all building services and preventative maintenance programs to the best of industries practices, the Scion’s Standard Operating Procedures, and in compliance with the State/Federal Govt./OSHA’s Codes/regulations.
• Manage the day-to-day operations including but not limited to heating, ventilating, air conditioning (HVAC), plumbing and piping, fire protection, and general building maintenance and troubleshooting, building automation systems and building maintenance systems.
• Oversee daily operations of the property while actively participating in hands-on tasks such as maintenance, repairs, and troubleshooting to ensure the smooth functioning of the property
• Serve as the primary point of contact for after-hours emergencies, providing on-call support to address urgent facility issues, including maintenance, safety concerns, and system failures, ensuring minimal disruption to operations
• Monitor systems and provides diagnostics, preventative maintenance, annual testing, permitting, certification for all major building systems including, but not limited to: chilled water systems with fan coil units, air handling units with outside condensers including roof top units (RTU), building stationary boilers, hot & cold water distribution systems (plumbing, pressure/pneumatic/storage tanks, variable frequency drive (and pumps & motors), domestic hot water heaters, building automation systems (BAS), electrical distribution systems, switchgears and controls, generators, uninterrupted Power supply (UPS), elevators and lifts, parking structures (ventilation/drainage Systems, T-Joints), entrance & exit Gates and overhead doors, shingled/tarred roof, TPO membrane roofing system, EIFS, brick, vinyl, & cementitious sideboard, ACP, curtain walls, insulated glass units (IGUs).

• Prioritize and schedule maintenance work, assuring quality of work consistent with Scion’s standards.
• Manage the Facilities Technicians to ensure all service requests are completed within Scion standards and are appropriately and accurately documented.
• Manage facilities budgets.
• Review completed work to verify conformance to standards or repair requirements.
• Ensure all emergency, routine maintenance/repairs are carried out in a timely and professional manner.
• Ensure all Preventive maintenance is carried out in a timely and professional manner.
• Respond promptly and effectively to all safety/risk-management-related issues at the property.
• Review completed work orders for accuracy of labor hours, materials’ cost, and track recurring equipment failures.
• Conduct regular inspection tours of buildings, interior common areas and the exterior of the property, equipment and surrounding grounds for deficiencies, potential safety, health, or code problems and necessary repairs.
• Prepare written reports summarizing findings, and advises other building users as appropriate, of the findings.
• Provide recommendations for dealing with problems noticed in inspections.
• Oversee and supervise “Turn” preparation including the prompt inspection of vacated units, makes appropriate repairs and charges, and ensures completion as scheduled.
• Inspect vacant units after repairs and maintenance have been completed to determine quality of work performed and readiness for occupancy.
• Manage the maintenance spare parts and the tools inventory, determining which parts/tools to stock and their stock level and working directly with General Manager to maintain inventory of parts, tools, and supplies within budget.
• Maintain shop appearance and all mechanical, supply, electrical and storage facilities on site.
• Ensure proper maintenance of equipment to ensure warranty compliance and extended useful life.
• Oversee all other contracted work in the building, obtaining bids and negotiating prices with vendors and contractors, as approved by the General Manager, Regional Manager or the Regional Facility Manager.
• Coordinate deliveries, schedules, and performance of all facility related vendors.
• Ensure proper safety procedures are followed, personal protective equipment is used, and health & safety policies are enforced.
• Manage process for keying and coring/coding of locks and maintain lock procedures, logbooks and protocols for key management and security.
• Effectively implement standard operating procedures and preventive maintenance programs according to Scion’s standards.
• Take part in emergency preparedness planning and acts as essential personnel in emergencies.
• Escalate unique or urgent repairs/replacements to General Manager and Regional Facilities Manager.
• Maintain records on all major systems including maintenance manuals, manufacturer’s cut sheets, warranties, and equipment specifications.
• Work closely with the General Manager and Regional Facilities Manager to manage, formulate and track facilities and capital budget.
• Hire, train and develop Facilities team members, holding them accountable for delivering a high level of service.

What We Require

• High school diploma/GED, trade school diploma, or military training
• 8 years of relevant experience managing building system in multi-unit residential properties, 5 years of supervisory experience
• 5 years’ experience with building automation systems, and life safety systems
• EPA 608 Universal certification
• HVAC/EPA 608 Universal certification
• Certified Pool Operator (CPO), or intention to obtain within six months
• Expertise in plumbing, HVAC, electrical and mechanical systems as well as generally accepted maintenance practices
• Boiler operator or Stationary Engineer Certificate/Lisence
• Ability to read and interpret documents such as design drawings, blueprints, safety guidelines, operating and maintenance instructions and procedural manuals
• Ability to manage multiple projects simultaneously, set priorities and meet deadlines
• Basic computer working knowledge, including Microsoft Office and CMMS
• Valid driver’s license
• Ability to stand 8 hours or longer per day and lift up to 100 lbs. as necessary
