ABOUT THE ROLE AND OUR TEAM
The Knot WorldWide is looking for a smart, results-oriented Accounts Payable Associate to support us with our Global AP Operations business. The person should be well-rounded and willing to jump in to get the job done wherever needed. The role will entail working on financial planning, managing accounts for the company, processing journal entries for invoice processing, looking at taxation policies, and staying compliant. Overall, he/she will also be responsible for accounts, costing, finance & audits of the unit, and handling the finance work at the unit level. The person will work with the Shared Services team for his/her scope of work and will report to the Accounts Payable Assistant Manager.
ESSENTIAL RESPONSIBILITIESWe are seeking a highly skilled and detail-oriented Associate – Accounts Payable to manage and optimize critical aspects of accounts payable operations. The ideal candidate will possess in-depth knowledge of Generally Accepted Accounting Principles (GAAP), exceptional organizational skills, and the ability to collaborate effectively with cross-functional teams. This role is pivotal in ensuring the accuracy, compliance, and efficiency of global AP processes.
Accounts Payable Operations- Process invoices accurately and efficiently using Coupa and NetSuite, ensuring compliance with VAT and multi-currency operations.
- Ensure proper coding of invoices to facilitate accurate month-end account closing.
- Manage vendor payments, ensuring timely processing and adherence to payment schedules.
- Collaborate with stakeholders to resolve invoice discrepancies, exceptions, and payment issues.
- Verify vendor accounts by reconciling monthly statements and addressing outstanding credits.
- Support timely and accurate completion of required reports to other offices Globally,
Compliance and Financial Accuracy
- Ensure all financial data is accurate and complete, meeting internal and external compliance standards.
- Review and verify expense reports, travel card transactions, and employee reimbursements for accuracy and policy adherence.
- Maintain up-to-date documentation for audit readiness and support auditors with requested information..
- Assistance with downloading tax invoices from various tax portals across different countries.
Process Improvement
- Identify opportunities for process optimization and assist in the implementation of automation tools, such as Invoice Smash.
- Collaborate with internal teams (Procurement, Legal, FP&A) to streamline AP workflows.
- Proactively suggest improvements to reduce errors and enhance operational efficiency.
Reporting and Data Analysis
- Prepare and deliver timely and accurate AP reports for management review.
- Analyze financial data to identify trends, anomalies, or cost-saving opportunities.
SUCCESSFUL CANDIDATES HAVE
- Bachelor’s degree in Accounting, Finance, or Management.
- 0-6 months of experience in accounts payable, purchasing, or financial systems operations.
- Proficiency in Excel (pivot tables, macros, and data analysis) and G-Suite.
- Understanding of GAAP standards, VAT regulations, and multi-currency operations.
- Fluency in English; both verbal and written is a must.

The Collections Agent is part of the Accounting Operations - Finance Team, focused on managing and resolving overdue accounts while maintaining a professional and positive relationship with customers. Your goal will be to secure timely payments, minimize risk, and contribute to overall customer retention and financial health.
RESPONSIBILITIES:- Make outbound collection calls and handle inbound calls from customers regarding payments.
- Manage unpaid accounts by analyzing customers’ situations and negotiating payment plans when necessary.
- Monitor and manage accounts receivable, ensuring adherence to agreed payment terms.
- Include and monitor delinquent accounts in insolvency registers / 3rd parties when required.
- Document all collection activities accurately in CRM systems.
- Collaborate with internal teams to resolve billing disputes or discrepancies.
- Generate and send reports to analyze payment trends and identify risks.
- Provide feedback to improve internal processes and tools.
- Contribute to achieving department collection targets (recovery rates, resolution time, call response time, and other KPIs).
- Support continuous improvement initiatives for collection procedures.
SUCCESSFUL COLLECTIONS AGENT CANDIDATES HAVE:
- 6+ months of experience in a customer-facing, finance, or collections-related role.
- Relevance coursework in accounting or solid accounting knowledge, interpretation of customer accounts balances, invoices, credit notes, payments, etc. is required.
- Proactive and detail-oriented professional
- Strong communication and negotiation skills (phone and email).
- Ability to handle difficult conversations with professionalism and tact.
- Problem-solving mindset with focus on achieving win-win outcomes.
- Strong organizational skills to manage multiple cases simultaneously.
- Proficiency with CRM, ERP systems and office software (Oracle Netsuite,Google Suite, Metabase, Qlik, Excel).
- Ability to work independently while collaborating with other departments.
- English: Fluent (mandatory)
- Spanish: Intermediate or higher (considered a plus)
- Previous experience in Finance departments, AP - AR it’s a plus
