Title: Permit Specialist - 100% Remote work 

Location: 100% Work from home in the following areas in the Philippines: Luzon region, Cebu City, Davao City, Iloilo City

About The Role

TaxValet is looking for a permit specialist to help our clients eliminate the hassle and risk of sales tax. You’ll be using your project management and attention to detail skills to assist clients with getting set-up within state tax systems quickly. The result being that TaxValet’s filing team is able to pay each clients’ taxes accurately and on time. This will be a highly collaborative role and will involve working with clients, internal teammates, state agencies, and more. 

The permit specialist will primarily be responsible for opening new sales tax accounts, closing existing sales tax accounts, preparing and sending Power of Attorney forms, and troubleshooting permit issues as they pop up. This role will be communicating with US State government agencies and US clients so really high proficiency and comfort with written and verbal English is a must! 

In time, you’ll be considered an expert on state sales tax permits and someone that many will turn to when looking for advice. 

Don’t worry—we’ll provide lots of training and help along the way. Your attitude and potential is much more important than your current knowledge and experience. We don’t expect anyone to come in with previous US sales tax experience. 

Your Qualifications

We’re looking for someone who is ready to learn and grow professionally, and wants a career (not just a job). We can train you on a lot of things, but here are our non-negotiables:

Professional

• Excellent English proficiency.
• Experience with project management, contract application, legal research preferred but not required.
• Bachelor’s degree in Business courses.

Your Primary Responsibilities  

• Permit Process. The permit specialist is responsible for managing the new permit process and existing permit verification process. This includes reviewing client information submitted to TaxValet, applying for the sales tax permits and creating access to the Permit account to verify any information needed so the account can then be turned over to the Sales Tax Accountant for filing purposes.The permit specialist communicates between the client and the stateto ensure accurate permit information.
• Prepare and Submit Power of Attorney Forms. The permit specialist sends, and submits the Power of Attorney forms for clients to give TaxValet the ability to communicate with Permits on behalf of the client.
• Permit Closures. The permit specialist will work with the New Client Onboarding Specialist, Client Tax Specialist  and Sales Tax Accountant in respect to closing out sales tax permits for new clients who are determined to no longer need a particularly permit upon completing the initial nexus review.
• Support Clients.  The permit specialist communicates and provides ongoing support to new and existing clients during the permit process.
• Support Sales Tax Accountants. The permit specialist communicates all helpful permit or account verification information to the assigned Sales Tax Accountant in order for them to effectively take on the client's ongoing filing process and any special projects.

Specific Measures of Success

No surprises here! After a year on the job, you’ll be measured by these specific outcomes:

• Permit Process/Verification Time. The goal is to complete the permit/verification process within 39 days for 90% of clients.  
• Permit Application Turnaround Time. The permit specialist will have all sales tax permits applications submitted within less than 48 hours of notification from the Onboarding Team.
• Permit Capacity. The permit specialist should be able to handle at least 80 permits/verifications per month along with other duties.  
• Education Hours. The permit specialist will complete 3 hours per quarter in work related education or training.  
• Quarterly Rocks (Goals). All rocks have at least an 80% completion rate for the year.

Title: US Tax Compliance Specialist

Location: 100% Work from home in the Luzon region, Cebu City, Davao City and Iloilo City, Philippines

About The Role

The purpose of the US Tax Compliance Specialist is to serve as the principal contact for existing client accounts in the following areas: annual nexus reviews, monthly economic nexus reviews, offboarding, use tax, resale certificates and state nexus questionnaires.

You will focus on conducting all nexus reviews, addressing nexus-related questions, and meeting and/or working directly with existing clients to explain nexus reviews and help address any nexus-related concerns that arise and ensure your clients are having a wonderful time working with you.

You will work directly with other TaxValet employees, specifically the Client Tax Specialist Team, Onboarding Team and Filing Team, to ensure existing clients continue to be set-up and ready for the sales tax filing process.

Your Qualifications

Your Primary Responsibilities

• Annual Sales Tax Nexus Reviews. The Client Nexus Specialist will analyze various economic and other presence factors to determine where existing clients have changes in their sales tax nexus obligations on an annual basis.
• Client Offboarding. The Client Nexus Specialist will be responsible for working with clients during their offboarding process. This includes negotiating with clients to explore opportunities for them to remain with TaxValet. If the client decides to proceed with offboarding, the CNS will ensure a smooth transition by managing permit closure information, computing final billings, completing necessary paperwork, and removing the client from TaxValet's systems, all while ensuring they have a positive experience at the conclusion of our service.
• Permit Opening, Closure, and Client Offboarding. The Client Nexus Specialist is responsible for initiating changes to existing client accounts resulting from a nexus review conducted, specifically in the areas of permit application, permit closure, and offboarding. This includes identifying the appropriate permit type for new permits, as well as completing the necessary Formstack preparation for both permit openings and closures before handing the project over to the assigned Client Tax Specialist.
• Support Existing Clients. You will support existing clients and their assigned hub to help with any issues that come up in regard to nexus, state nexus questionnaires, use tax, resale certificate and offboarding concerns of existing clients
• Project Audit. You will complete client project audits and peer reviews to ensure our clients' work is done correctly and all information is up-to-date. These processes are also used as a training opportunity for our team.
• Contributing to Client Success beyond Onboarding. You will actively work with the team to identify and implement improvements to project workflows.

Specific Measures of Success

No surprises here! After a year on the job, you’ll be measured by these specific outcomes:

• The Client Nexus Specialist will ensure that tax exposure resulting from errors in nexus reviews completed within the trailing 12-month period remains below 3% of the maximum ideal exposure as % of net income in the Known Client Risk Pool
• The Client Nexus Specialist will ensure that less than 10% of nexus reviews completed in the trailing 12-month period have substantial errors as identified through peer review. Substantial errors are defined as inaccuracies that could lead to a possible exposure or non-compliant decision for the client.
• The Client Nexus Specialist will be responsible for supporting 66 existing clients for CNS-related concerns  per month.
• The Client Nexus Specialist will be responsible for completing 8 nexus reviews per month.
• The Client Nexus Specialist will be responsible for managing 20-25 Resale certificates, Use Tax, State Questionnaires and Offboarding projects per month.
• 100% of open tickets should be responded to by the Client Nexus Specialist within 48 hours
• Completion of online education and training. You will complete 3 hours per quarter of educational training.
• Completion Rate of Quarterly Rocks.

The ideal candidate is comfortable with learning and using new technology and has some bookkeeping or accounting experience, and is comfortable working remotely. This requires having high-speed and reliable home internet.

Your Primary Responsibilities

• Prepare and submit sales tax filings. You will work with the clients to ensure their sales tax data is accurate and in a format compatible with the tax software, prepare estimated liabilities, and submit sales tax filings on a monthly basis.
• Monitor clients' tax collection variances. On a periodic (typically monthly) basis, you will monitor the variance between tax collected and the calculated liability due, determine any issues and work to resolve said issues with clients when possible. 
• Provide assistance to resolve time-critical issues. Many clients come to us with notices from state sales tax authorities regarding assessments, collections, and past due returns. You will work closely with clients to resolve these issues and get their filings current. This often involves working with sales tax authorities to help our clients.
• Assist with special client projects. You will assist with submitting late or amended sales tax returns, managing audits, and updating clients' company information with the states.
• Internal documentation, workflows, and processes. You will be a key player in updating internal documentation for new and/or more efficient filing and account management processes, workflows, and tools used.
• Be the primary point of contact for your clients. Once clients leave the onboarding process, you will be their primary point of contact for all services. You will be responsible for ensuring consistent and adequate communication between the team and the clients regarding any issues, sales tax filings, projects, or requests.
• Learn New Skills. You will continue to learn and advance your understanding of sales tax and related technical skills on an ongoing basis to advance your career and increase the value you bring to the team. 

Specific Measures of Success

No surprises here! After a year on the job, you’ll be measured by these specific outcomes:

• Average timeframe for special project completion. On average, complete special projects within 60 days of client sign-off/approval to proceed.
• Average timeframe for past due return project completion. On average, complete all known backfilings within 90 days of client onboarding completion.
• Client tax variance percentage. Have 80% of clients with less than 3% tax collection variance (the difference between the tax collected and the amount due to the state).
• Submitting returns on time. Have 99.9% of monthly filings submitted by state due dates.
• Completion of online education and training. You will complete 3 hours per quarter of Sales Tax Institute Webinars or other educational training.
