Reporting to the London Office Team Lead, the Office Coordinator will work with a team of amazing individuals that support our EMEA location of approximately 250 (and counting!) Taboolars. You’ll deliver excellent customer service while managing all day-to-day operations, maintain and organize our work environment, and create a place where employees can be productive and enjoy themselves.

To thrive in this role, you'll need:

• 2+ years of experience as an office coordinator, ideally in a tech environment. Experience in a front office handling receptionist role and building relationships with a range of internal departments (finance, human resources, executive teams) 
• Hands-on mentality belief that no task is too big or too small and willing to get stuck in and contribute to the success of our employee experience and Office Admin team
• Strong prioritization skills and ability to manage a wide variety of requests 
• Passion for tackling issues in the moment and anticipating future needs, a creative and outgoing nature, with a get-it-done mindset
• Ability to be resourceful and proactive in dealing with issues that may arise
• Interest and excitement surrounding corporate culture and events (ie. office events, Company days, Happy Hours, anniversaries etc) with a creative flair and attention to detail
• Travel booking experience
• Confidence and ability to sourcing new vendors and being cost effective
• Can comfortably lift 15-20 lb items for office maintenance purposes 

Bonus points if you have:

•  Knowledge of Google Workspace and Adobe Photoshop is desirable

• Be the “face” of Taboola, greeting all visitors with warmth and professionalism, ensuring a smooth check- in experience and prompt communication with their host
• Main point of contact for employees, clients, and visitors, triaging a wide range of requests, balancing multiple priorities with ease, keeping ahead of every day tasks running smoothly and on schedule 
• Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
• Answer, screen and forward any incoming phone calls while providing basic information when needed
• Update appointment calendars and schedule meetings/appointments
• Keep the office running smoothly and maintain inventory of all supplies, including IT equipment and our fully-stocked kitchen
• Manage ad hoc projects and events, ranging from office lunches to annual parties, supporting the Office Admin team

As an Office Coordinator you will be the face of daily life at our office. You’ll deliver excellent customer service while managing all day-to-day operations, maintain and organize our work environment, and create a place where employees can be productive and enjoy themselves.

This position is right for you if you have high energy, plenty of motivation, excellent communication skills, and superb attention to detail. This is a 9-18 position.

How you’ll make an impact:

• Be the “face” of Taboola, sitting in the reception while being a welcoming point of contact for employees, clients, and visitors on a wide range of requests 
• Organize and coordinate administration duties while ensuring high levels of organizational effectiveness at the office reception and maintain inventory of all supplies, including medication orders and our fully-stocked kitchen,deliveries etc.
• Tracking office supply costs against pre-existing budgets.
• Manage relationships with vendors – searching and negotiation with potential external suppliers, external suppliers related to the office ( groceries, Happy Hours,meetups, anniversary etc.).
• Ensure a pleasant working environment and smooth ongoing operation of all administrative needs.
• General operation and administrative responsibilities, including welcome visitors, answer phone calls, and assist every employee or guest with every need.
• Support finance department with expense. 
• General operational support with different activities and with issues that may arise.
• Handle matters with the highest level of confidentiality and time sensitivity.

We are reimagining how HR operations work at Taboola, and we are looking for a curious, hands-on Business Analyst to help us get there. As an HR Business Process Analyst on the People Analytics team in our Gurgaon office, you will be at the core of our HR Shared Service Center (SSC) transformation: mapping and improving processes, deploying AI to reduce manual work, and helping the SSC evolve from a back-office transaction hub into a strategic, business-facing function. This is a great opportunity for someone early in their career who is excited about applying AI to real business problems and energized by the work of making things run better.

To thrive in this role, you'll need:

• 3 to 5 years of professional experience in business analysis, operations, process improvement, HR operations, or a similar function.
• Hands-on experience using Generative AI tools (ChatGPT, Gemini, Claude, Copilot, or similar) to solve business and operational problems.
• A track record of mapping, documenting, or improving business processes.
• A strong analytical mindset and comfort working with data in Excel or Google Sheets.
• Strong written and spoken communication skills in English, with the ability to translate operational needs into structured requirements.
• Familiarity with HR systems, processes, or service delivery models.

Bonus points if you have:

• Experience working with or inside a Shared Service Center.
• Hands-on experience with SAP SuccessFactors or another HRIS.
• Familiarity with workflow automation tools (Zapier, Make, n8n, Power Automate).

How you'll make an impact:

• Support the transformation of the HR Shared Service Center by inventorying and documenting processes, identifying risks and gaps, and helping shape the operating model that lets the SSC scale.
• Identify high-volume, repeatable work where AI and automation can reduce manual effort, then help design, pilot, and deploy those solutions.
• Contribute to the rollout of AI-powered self-service tools for employees and managers, including knowledge bases and conversational agents.
• Help define and monitor SSC service KPIs, SLAs, and HR data quality metrics.
• Partner with HRBPs, IT, and global HR teams to understand pain points and turn them into concrete operational improvements.
• Run targeted analyses and build simple dashboards that surface what is working and what is not.
• Support the evolution of the SSC from back-office processing toward business-facing services that directly serve managers and leaders.
