As an Admissions Consultant you will embody the Affect values of Empathy, Passion and Accountability to help potential members on their recovery journey. Admissions Consultants, which we also internally call our Treatment Consultants, make up the Admissions Team at Affect and work closely and collaboratively with the Marketing, Member Services, and Clinical teams.

About the Role:

Treatment Consultants are responsible for swiftly responding to interested potential members and scheduling intake appointments with the Affect clinical team for assessment. The Admissions Team meets members where they are in their journey and supports their success by providing education about our programs, diligent follow-up, scheduling and tech support, and more.

Responsibilities of the Treatment Consultant will include:

• Manage your daily schedule with a sense of urgency to support a high volume of inbound phone calls, text messages, and emails. 
• Achieve individual goals and contribute towards team goals. Individual and team goals are designed to meet our corporate enrollment goals and ensure quality communications in every interaction.
• Demonstrate knowledge of enrollment criteria to correctly identify who is a good candidate for our program, assist potential member needs, and ensure all requests are followed through and completed. 
• Use motivational interviewing (MI) techniques to determine each caller's readiness and encourage intake appointment attendance.
• Schedule initial intake appointments using an Electronic Health Record (EHR) and other internally-built software tools.
• Facilitate seamless intake appointment; coordinating with counselors and other clinical staff as necessary.
• Contribute to the growth of the team by suggesting improvements in operations, messaging, or strategy.
• Perform other duties as assigned.

Requirements:

• We value the power of recovery! This is a great role for someone personally in recovery, we require 2+ years of consistent recovery to be able to properly support Affect potential members. Alternatively, we require experience working in behavioral health (prior Admissions roles a plus!). • This is a full-time role. You must have the availability to work full-time and show accountability to working your scheduled hours. Treatment Consultants have set hours, but we offer flexibility in setting those hours as long as it is in the best interest of serving our members. Recurring evening and weekend availability is a big plus.

📌 Hours: This is a full-time telehealth position with working hours of 8:00 AM – 5:00 PM EST, Monday – Friday.📌

Key Responsibilities include:

• Act as the primary liaison between members, providers, and pharmacies to troubleshoot prescription issues, delays, and prior authorizations.
• Communicate effectively and professionally with pharmacies and senior medical staff (e.g., psychiatrists and psychiatric mental health nurse practitioners) to resolve medication access issues.
• Identify recurring medication-related concerns or workflow gaps and proactively escalate patterns or process gaps to the appropriate team.
• Recognize signs of medical emergencies, utilize screening tools to assess risk, and follow established escalation protocols, including contacting 911 when necessary and guiding members through appropriate escalation pathways.
• Field inbounds from members and communicate about medication-related concerns, ensuring they understand prescriptions, dosages, and necessary next steps. You will provide support via answering inbound calls, following up with members on outbound calls, as well as via our app’s secure in-app chat, email or sms.
• Assist with medication reconciliation, ensuring accurate medication records in Affect’s Electronic Health Record (EHR) system.
• Demonstrate critical thinking skills in the review of medical records to ensure accuracy and completeness.
• Assist providers with lab orders, prior authorizations, and documentation.
• Conduct live remote Urine Drug Screens (UDS) or review Urine Drug Screen (UDS) results when needed to assess for medication adherence.
• Maintain familiarity with medication names, interactions, and general healthcare practices to support members effectively.
• Stay up to date with best practices for virtual patient care and telehealth support.

Qualifications:

• Minimum 4 years of experience as a CMA (Certified Medical Assistant) or RMA (Registered Medical Assistant) in a MOUD or MAT medication-assisted treatment program.
• Minimum 2 years of experience working in a telehealth behavioral health or substance use treatment setting
• Strong understanding of medical terminology, medications, substance use treatment, and general healthcare and pharmaceutical practices
• Experience with EHR systems, prior authorizations, and pharmacy coordination
• Excellent customer service skills, empathy, and the ability to build strong rapport with members
• Exceptional problem-solving skills and attention to detail, with a bias toward action
• Strong written and verbal communication skills; as you will be supporting members via phone, chat, and sms/email
• Medical Assistant Certification required—recognized as a CMA or RMA by one of the following national organizations:

At Affect, we’re building a fully virtual addiction and mental health treatment program designed for real life -- and that starts with removing barriers to care.

As the Manager, Insurance Operations at Affect, you are the bridge between clinical care, the member experience, and our Revenue Cycle Management (RCM) teams.  Your mission is to eliminate insurance-based friction. You will own the entire "pre-claim" insurance lifecycle: from the moment a potential member’s insurance is triggered for verification to the point their claim is successfully billed.  While the RCM team handles the technical submission of claims, you own the data integrity, authorizations, and payer-facing coordination that make those claims successful.

Responsibilities include:

• Verification of Benefits (VOB) & Eligibility
  • Design and manage a seamless VOB workflow to ensure swift and accurate payer coverage before a member’s first session
  • Own the process to identify members whose insurance has lapsed and manage the outreach process to secure new coverage or payment plans
  • Own the resolution of Coordination of Benefits (COB) issues, working directly with members and payers to ensure the correct primary/secondary order is established, as well as the vendors utilized to work these issues
• Prior Authorization & Utilization Management
  • Own and optimize workflows to request, track, and renew prior authorizations, leveraging existing tools and identifying opportunities for automation and improvement
  • Analyze rejection patterns within Candid to identify root causes related to authorizations or member data and implement upstream fixes, as well as working current issues to resolution
• RCM Partnership & Denial Resolution
  • Partner closely with the RCM team, who owns claim submission and collections, while your team owns the accuracy and completeness of all upstream insurance data
  • Serve as a primary operational point of contact for insurance payers, resolving eligibility, authorization, and member data issues and escalating systemic challenges as needed
• Member Financial Experience & Billing
  • Oversee the member-facing side of the billing process (e.g., invoices, collections of copays/deductibles) to ensure it aligns with Affect’s compassionate mission
  • Serve as an internal champion for Candid, optimizing the platform’s insurance, prior auth, and member-pay workflows to reduce manual work
• Vendor Performance Management
  • Manage external vendors involved in eligibility checking, specialized insurance discovery, and active member insurance issues (e.g., Coordination of Benefits)
  • Track and report on VOB turnaround time, authorization success rates, and "front-end" denial rates
• Reporting and Analysis
  • Provide regular reporting on key KPIs, such as time-to-verify insurance for potential members, percentage of COB denials, and more
  • Conduct in-depth analysis to identify trends, opportunities, and areas for improvement

Requirements:

• 3-5+ years of experience in healthcare operations, insurance operations, or revenue cycle, with direct experience in eligibility, benefits verification, and prior authorizations
• Strong understanding of:
  • Insurance eligibility and benefits (commercial + Medicaid preferred)
  • Prior authorization workflows and payer requirements
  • COB resolution
• Experience partnering with RCM and/or billing teams to reduce denials and improve clean claim rates
• Experience working with external vendors and managing performance against SLAs
• Proven ability to manage and improve operational workflows with strong attention to detail
