We are looking for a US Real Estate Portfolio administrator based in Brazil to support the growth and organization of the Real Estate Portfolio On Demand team and to provide attentive support to internal parties. If you are a well organized, dynamic person with exceptional communication and problem solving skills then this role may be for you!
As Real Estate Portfolio Administrator, you will be responsible for coordinating the leasing and administrative requirements necessary to prepare apartments for the guests move-in across the United States. You will serve as the primary point of contact for landlords, ensuring all leasing requirements are completed accurately and on time while partnering with cross-functional teams to support a seamless move-in process.Β
Responsibilities:
- Serve as the main point of contact for property management companies and property owners throughout the move-in process;
- Coordinate all property-facing leasing requirements, including rental applications, lease execution, proof of insurance, move-in funds, and other required documentation.
- Build and maintain professional relationships with landlords through email and phone communication;
- Proactively follow up with property management/owners to ensure leasing requirements are completed within required timeline;
- Ensure all leasing requirements are completed accurately and within established deadlines to support successful guest move-ins;
- Collaborate closely with cross-functional teams, including Operations, Finance, Sales, and other internal stakeholders to support successful guest move-ins;
- Execute lease administration tasks, including contract-related updates.
- Maintain accurate unit/building/process information within internal systems, ensuring high data integrity;
- Review and validate operational data to ensure accuracy and support downstream business processes;
- Assist markets with insurance (COI) requests, renewals and related documentation to ensure continuous coverage;
- Monitor assigned cases, prioritize competing deadlines and priorities, and proactively resolve operational issues;
- Follow internal policies and property-specific leasing procedures while identifying and escalating potential risks when necessary;
- Identify opportunities to improve operational processes and contribute to continuous improvement initiatives.
What we are looking for:
- Degree from a top-tier university
- 1-2 years of experience in a similar role - residential Real Estate or Client Experience - will be considered as a plus
- Fluency in English
- Proficiency in Microsoft Word, Excel (formulation, data entry, charts, pivot tables) and Powerpoint
- Self-starter with a roll up your sleeves mentality
- Strong quantitative, analytical and problem-solving skillsΒ
- Adaptability in a fast-paced environment
- Excellent organizational and time management skills with the ability to manage multiple assignments and manage competing priorities
- Exceptional attention to detail and accuracy
