To keep our executive leadership team focused on strategic growth and product innovation, we are looking for an Executive Assistant to support our leadership in New York.

In this role, you will serve as the primary organizational partner to our executive leadership. This is not just a calendar-management role; you will act as a trusted extension of the leadership team, helping to streamline operations, facilitate communication across departments, and ensure key initiatives move forward smoothly. Your Impact and What Success Looks Like

Your primary goal is to maximize the executive team’s time and focus. You will succeed by maintaining a deep understanding of ongoing projects and anticipating administrative needs before they become urgent.

Day-to-Day Responsibilities

  • Calendar and Schedule Management: Proactively manage complex calendars, coordinate internal and external meetings, and resolve scheduling conflicts before they impact the business day.
  • Communication Liaison: Draft, review, and organize correspondence on behalf of leadership. Act as a welcoming, professional point of contact for external partners, retail clients, and team members.
  • Meeting Preparation: Prepare meeting agendas, compile background information, and document actionable next steps to ensure leadership enters every discussion fully prepared.
  • Travel and Logistics: Coordinate travel arrangements and detailed itineraries, ensuring seamless transitions between office locations, showrooms, or client visits.
  • Expense and Document Management: Process executive expense reports, organize digital files, and maintain confidential business documentation with high discretion.

Long-Term Success

  • Within 3 months: You will have developed a strong understanding of our leadership's working styles, priorities, and standard business cycles, taking full ownership of calendar and email management.
  • Within 6 months: You will actively anticipate administrative roadblocks, streamline meeting prep processes, and serve as a reliable gatekeeper who can prioritize requests independently.
  • By 1 year: You will function as a strategic partner, managing small-scale operational projects and helping to ensure the executive team's annual goals are met on schedule.

Requirements

Must-Have Qualifications

  • At least 4 years of experience supporting executives, VPs, or business leaders in a fast-paced environment.
  • Strong proficiency with standard office tools, including Google Workspace and Microsoft Office (Word, Excel, PowerPoint).
  • Exceptional written and verbal communication skills, with the ability to convey information clearly and professionally.
  • Proven ability to handle sensitive, confidential business information with absolute discretion.
  • Excellent time-management skills and the ability to prioritize tasks when managing competing demands.

Nice-to-Have Qualifications

  • Prior experience working in manufacturing, interior design, wholesale retail, or home luxury goods industries.
  • Experience coordinating small events, executive retreats, or showroom visits.
  • Familiarity with project management tools (such as Asana, Trello, or Monday.com).
