Summary of Position:

The Director, Meetings & Events is responsible for leading the planning and execution of Scholar Rock’s congresses, medical and commercial meetings, and internal events. This role partners closely with Commercial, Medical Affairs, Legal, Compliance, Finance, and external vendors to deliver high-quality, compliant, and impactful events that support the company’s strategic objectives.

Based on the annual event calendar and business priorities, the Director will manage a portfolio of assigned events, providing end-to-end leadership across planning, execution, budgeting, compliance, and post-event evaluation. In addition, this role will help drive operational excellence by supporting financial tracking, process improvement, and strategic meeting operations across the organization.

Position Responsibilities:

Strategic Partnership & Stakeholder Management

  • Serve as a trusted partner to Commercial, Medical Affairs, and cross-functional stakeholders to understand event objectives and deliver exceptional meeting experiences.
  • Foster strong working relationships across internal teams to ensure alignment on event strategy, timelines, budgets, and execution plans.
  • Collaborate closely with Legal, Compliance and Finance to ensure adherence to company policies and industry regulations.
  • Meeting & Congress Planning

    • Lead the planning and execution of assigned US and Global congresses, national meetings, and internal corporate events.
    • Manage all event logistics including venue selection, transportation, catering, room layouts, registration, housing, audiovisual services, and attendee communications.
    • Provide end-to-end management of smaller standalone meetings and ancillary events as required.
    • Budget & Financial Management

      • Develop and manage event budgets while ensuring cost-effective execution and alignment with organizational goals.
      • Track expenses, process invoices, and maintain accurate financial reporting for assigned programs.
      • Partner with Finance and leadership to support forecasting, reconciliation, and budget planning activities.
      • Vendor & Agency Management

        • Manage relationships with meeting agencies, congress partners, venues, and third-party vendors.
        • Support vendor selection, contract negotiation, and performance management to ensure service excellence and value optimization.
        • Ensure vendors meet established quality, compliance, and operational standards.
        • Event Operations & Execution

          • Oversee event readiness, including development of agendas, meeting materials, registration processes, attendee management, and onsite logistics.
          • Provide onsite leadership for key events, ensuring seamless execution and rapid resolution of operational issues.
          • Coordinate booth management, meeting room operations, speaker support, registration services, and event teardown activities.
          • Communications & Attendee Experience

            • Partner with Commercial and Medical teams to support attendee communications, event promotions, and registration campaigns.
            • Ensure all stakeholder and attendee communications are timely, accurate, and aligned with event objectives.
            • Deliver a best-in-class attendee experience across all meetings and events.
            • Compliance & Risk Management

              • Ensure all meetings and events comply with applicable healthcare regulations, industry guidelines, company policies, and HCP spending requirements.
              • Partner with Compliance to monitor event activities and maintain appropriate documentation, approvals, and reporting.
              • Identify and mitigate operational and compliance risks throughout the planning process.
              • Continuous Improvement & Reporting

                • Conduct post-event evaluations and gather stakeholder feedback to measure outcomes and identify opportunities for improvement.
                • Analyze event metrics, attendee engagement, and operational performance to enhance future programs.
                • Contribute to the development of scalable processes, tools, and best practices that improve the effectiveness of the Meetings & Events function.

Candidate Requirements:

  • Bachelor's degree in Hospitality Management, Event Management, Marketing, Communications, Business Administration, or a related field required.
    • Minimum of 7 years of experience planning and executing meetings, congresses, and events in the pharmaceutical, biotechnology, or healthcare industry.
    • Demonstrated success managing global events and working with international stakeholders and vendors.
      • Certified Meeting Professional (CMP), CMP-HC, Certified Meeting Manager (CMM), or similar certification preferred.
        • Proficiency with Microsoft Office Suite, including Excel and PowerPoint.
        • Experience with event management platforms such as Cvent, ExhibitForce, or equivalent meeting technologies.
        • Familiarity with budget management, registration systems, and event analytics tools.
          • Strong ability to influence and collaborate across diverse stakeholder groups in a fast-paced environment.
          • Demonstrated success managing complex, cross-functional initiatives with multiple priorities.
            • Exceptional organizational and project management skills with the ability to manage multiple events simultaneously.
            • Proven ability to prioritize work, meet deadlines, and deliver results under pressure.
              • Outstanding verbal, written, and interpersonal communication skills.
              • Ability to engage effectively with senior leaders, healthcare professionals, vendors, and cross-functional teams.
                • Resourceful and proactive approach to addressing challenges and resolving issues quickly and effectively.
                  • Experience negotiating vendor contracts and managing event budgets to maximize value and achieve business objectives.
                    • Strong attention to detail with a commitment to operational excellence and flawless execution.
                      • Experience planning and managing meetings across multiple geographies and cultures.
                      • Ability to work effectively with global stakeholders, vendors, and service partners.
                      • Additional language proficiency is valued but not required.
